Summary
Are you an organized and detail-oriented professional with a passion for customer service? We're looking for a Service Coordinator, Rentals to manage the rental process for occupational health equipment. Based out of our Edmonton branch, you'll ensure rental requests are handled efficiently, maintain accurate records, and provide prompt, courteous support to both internal teams and external customers.
This role is a mix of administrative tasks, customer interaction, and equipment management. You'll be responsible for fielding rental requests via phone and email, locating equipment (either in-house or through external partners), inspecting equipment, handling billing, and monitoring inventory levels. Collaboration with various teams will be key to your success as you work to provide a seamless rental experience while maintaining high service standards.
This is an exciting opportunity to learn our service business and act as a key liaison between customers, the Sales team, and equipment suppliers. Additionally, you will provide administrative support, daily data entry, and billing for key customer accounts.
Key Responsibilities
• Coordinate rental reservations and maintain accurate transaction records
• Inspect rental equipment (incoming/outgoing) to ensure proper functionality
• Track and maintain equipment and stock levels used in service activities
• Provide exceptional customer service externally and collaborate with internal teams
• Prepare quotes and rental agreements while collecting necessary customer information
• Ensure accurate data entry and documentation
• Work cross-functionally to identify rental equipment opportunities
• Support daily operations in a fast-paced service environment
• Coordinate and prioritize client needs, scheduling technicians accordingly
• Optimize job scheduling and resource allocation for short- and long-term planning
• Track technicians' on-site hours relative to their schedules
• Perform daily data entry quickly and accurately
• Compile invoices for bi-weekly and monthly billing
• Support the team with other duties as needed to maintain smooth operations
Requirements
• Previous experience in administration, coordination, or a rentals-related role
• Rental industry experience is a plus, but a willingness to learn is key
• Strong organizational skills with high attention to detail
• Excellent communication skills and ability to multitask effectively
• Proficiency in Microsoft Office and data entry; familiarity with Salesforce.com is an asset
• Ability to work in a fast-paced environment and adapt to shifting priorities
• A positive, can-do attitude with a commitment to providing top-tier customer service
• Strong telephone etiquette and customer service mindset
