Service and Installation Coordinator
to support our growing operations.
Position Overview:
The Service and Installation Coordinator plays a key role in ensuring smooth day-to-day operations of our HVAC service and installation teams. This position involves high levels of customer interaction, coordination of technicians, part sourcing, invoicing, and handling various administrative and logistical responsibilities. The ideal candidate is proactive, resourceful, and confident in communicating with both customers and technical teams.
Key Responsibilities:
Serve as the primary point of contact for customers via phone, email, and other communication channels
Schedule and coordinate service calls and installation jobs with customers and technicians
Dispatch technicians based on skill set, licensing, availability, and job requirements
Communicate job status and updates to customers, ensuring a professional and positive experience
Source and order parts and equipment with support from the warehouse technician
Prepare and send accurate invoices, including pricing jobs, and reviewing/updating job notes
Assist with part and equipment warranty claims for various manufacturers
Assist with warranty registration for newly installed HVAC equipment
Take out permits for installation work as required
Work with gas suppliers and regulatory bodies to manage infractions, inspections, and required corrections
Maintain accurate records for job progress, parts, permits, and compliance documentation
Collaborate with internal departments to ensure seamless job execution and follow-up
Other duties as assigned
Qualifications:
Experience in HVAC, construction, or a trades-related service coordination role preferred
Strong customer service and communication skills
Excellent organizational and multitasking abilities
Experience with dispatching, Customer Relationship Management, and invoicing systems
Familiarity with HVAC equipment, permits, and warranty processes is a strong asset
Proficient in Microsoft Office (Excel, Word, Outlook)
High school diploma or equivalent; additional education or industry certifications a plus
