, to join our team in Mississauga. As a Service Administrator, you will be highly organized and detail oriented. You will bring a "People First" mentality to work, collaborating daily with vendors, billing, customers, and fleet maintenance. Your responsibilities will include maintaining accurate records, ensuring smooth communications with vendors and customers, and managing the day-to-day administrative tasks related to fleet maintenance.
Key Responsibilities:
Invoice Management & Data Entry:
Accurately enter maintenance invoices into the system, ensuring correct billing and payment processes.
Vendor Communication:
Contact vendors via email or phone to resolve missing or incorrect invoices and ensure timely updates and accurate data.
Repair History Verification:
Research and verify maintenance history to confirm correct services are performed, ensuring warranty repairs are properly captured.
Work Orders & Purchase Orders:
Create
EMDECS
work orders and purchase orders (POs) for fleet maintenance, ensuring all repairs and services are documented properly.
Vehicle Updates:
Update vehicle mileages and engine hours during the data entry process, maintaining accurate records for each fleet vehicle.
Work Order Closure:
Follow up to ensure work orders are closed in a timely manner, maintaining efficient operational flow.
Document Filing & Organization:
Maintain organized filing systems for important documents such as safety certificates, maintenance logs, and vendor agreements.
Administrative Support:
Assist with various administrative duties, supporting the team's operations and ensuring workflow continuity.
Key Skills & Qualifications:
Strong Communication Skills:
Excellent verbal and written communication abilities to interact with vendors, customers, and team members effectively.
Experience in Fleet Management:
Previous experience in fleet maintenance or a related administrative role is preferred.
Detail-Oriented:
Ability to manage multiple tasks while maintaining accuracy and efficiency.
Software Proficiency:
Skilled in
Microsoft Office Suite
(Excel, Word, Outlook); familiarity with
EMDECS
or similar fleet management software is a plus.
Time Management & Organization:
Strong organizational skills with a focus on deadlines and task prioritization.
Problem-Solving Ability:
Ability to independently resolve issues and follow through on tasks.
