The Role

Reporting to the Senior Manager, Real Estate Operations and Facilities Management, the Senior Specialist will be responsible for supporting the Operations and Facilities Management team on the delivery of facilities management objectives. The Senior Specialist will coordinate deliverables, across approximately 1.7 million square feet of commercial buildings in a multi-city portfolio. In addition, the Senior Specialist will be responsible for influencing beyond their immediate team to ensure initiatives are delivered well and meet their intended business objectives.

In this role, the incumbent will collaborate with the operations team including third party suppliers and contractors to help manage the strategic direction and daily operations of the overall portfolio. The incumbent will have responsibility within the Real Estate property management and asset management structure assisting the Senior Manager and Director with decisions and actions that have the potential to significantly affect financial and sustainability results. In addition, the Senior Specialist will support a variety of strategic initiatives such as business continuity planning, work order management, security system modernization, management of our Workplace Management System and supporting processes and procedures.

Key responsibilities:

Collaborates with the Operations and Facilities Team, focusing on customer service, benchmarking, sustainability, and long range planning; following leading-edge policies, procedures and best practices for all aspects.

Provides project management support for Corporate Real Estate initiatives such as Workplace Health and Safety and strategic vendor and/or partner roll outs.

Applies effective facilities management tools to optimize delivery awareness to key stakeholders.

Documents business as usual standard operating procedures for business continuity planning.

Translates strategies into actions leverage competitive advantages and supports the team through change while maintaining engagement and productivity. This will include coordinating moves/adds/changes, development of slide decks for executive summaries and project approvals.

Supports strategic plans by maintaining current and historical financial, lease obligations and space planning information utilizing technology resources.

Helps manage and delegate work deliverables and assignments based on available resources. Assists team with problem solving and decision making to ensure a consistent and functional response to needs. Supports the development of the team through coaching and feedback and enables the sharing of information through collaboration.

Builds and maintains strong relationship; engages and influences others to ensure a client focused, sustainable operation.

Assists with departmental goals and objectives to identify and resolve difficult and sometimes complex operational issues.

Qualifications:

Minimum of 3-5 years of industry experience in work order and asset management, security, space planning, technical systems.

Facilities and operations or construction management experience

AutoCAD experience

Comprehensive proficiency in MS Office applications \xe2\x80\x93 Excel, Word, PowerPoint, MS Project

Experience reading and interpreting commercial lease agreements is preferred.

C.E.T, RPA, FMA, CFM or equivalent designations are all considered as assets.

Bilingual candidate strongly preferred to support our French employees & advisors.
