Ensure proactive timely resolution of staff, Contractor, Vendor, and Consultant performance issues.Human Capital ManagementOversee the day-to-day activities of the Maintenance and Property Management teams, offering support and guidance on a regular basis. Organize and facilitate regular team meetings with staff to reinforce established standards and address common concerns, issuing directives resulting from the meetings in a timely manner. Establish performance objectives and metrics for the departments, providing regular feedback and addressing underperformance in a timely manner. Work closely with Human Resources to develop and implement a training program, ensuring that team members are cross-trained to lessen business risk and that clear career progression paths are identified. Lead, motivate and coach the team, providing the necessary training and tools to ensure that all management and leasing efforts are executed to established standards and meet established objectives. Promote a strong sense of community.Ongoing OperationsOperate properties consistent with the expectations of the management contract and approved annual budgets. Be responsible for ensuring all Centurion Property Associates\xe2\x80\x99 policies and procedures are adhered to; constantly motivate and develop site staff, managing performance to established standards. Authorize Work Orders and Purchase Orders to approved limits, being cognizant of year-to-date expenditure and approved annual budgets. Review and approve invoices according to standard policies and procedures. Review and approve new leases according to established approval criteria. Ensure the timely collection of rent; initiate follow-up where payments are not made and initiate and attend to legal and collection as required. Continually review and evaluate the market rates for each property, ensuring revenues are optimized in the competitive environment. Complete regular site inspections of properties including vacant apartments, building common areas and plant operations to identify opportunities, and report any concerns or deficiencies promptly to Property and Asset Management. Ensure preventative maintenance is scheduled and completed. Set and monitor performance and quality targets for site maintenance; monitor service contract performance. Ensure compliance with all legislation, including but not limited to: the Residential Tenancies Act, Labour Relations Act, Fire Code and Occupational Health and Safety Act. Complete other tasks as assignedAdministration and ReportingComplete required operating and financial reporting including detailed monthly property reports and variance analysis. Complete weekly availability and traffic reporting as required. Develop and remit quarterly re-forecasts and annual budgets according to established timelines; assist the Director, Technical Services and Project Managers with the preparation of capital budgets including the development of five-year capital plans for each site. Maintain an orderly office area, including proper filing of all hard and soft copy documentation and correspondence. Assist with any Asset Management analysis and reporting as required. Review and approve monthly Superintendent expenses, ensuring accuracy of the Expense Form. Complete any other reporting consistent with the requirements of the property management contract.Capital Project ManagementReview apartments at turnover and prepare a scope of work consistent with established renovation standards. Inspect renovated apartments at completion and follow up to ensure any/all deficient items are addressed in a timely manner and the Resident is satisfied. Assist the Director of Residential Operations with the implementation and management of annual capital expenditure work at each site. Prepare all capital notices that are to be posted on-site for approval by the Director, Fixed Asset Management and Innovation.Risk ManagementEnsure ongoing compliance with current codes, technical safety standards and legislation. Assist with effective and prompt resolution of municipal and provincial work orders. In cooperation with insurance entities, assist with the completion of quarterly or annual risk assessments, incorporate into capital or operations planning and implement as required to mitigate risk.Requirements
