Senior Manager, Faculty Administrative Operations

Job Description


Reporting directly to the Dean, serving as the senior non-academic administrator, the incumbent leads teams within the Faculty, oversees and provides strategic recommendations and daily operations oversight to non-academic service areas, including budget planning, finance control, human resource planning, policy development support and execution, IT, and capital (stewarded space, equipment, maintenance and renovations) in the Faculty. The Senior Manager leads and executes key strategic and operational projects on behalf of the Dean in partnership with other leaders across the Faculty and institutionally. As an active member of the leadership team, the Senior Manager collaborates closely with colleagues (e.g. Associate Deans) to lead annual resourcing processes for the Faculty, serves as a resource in leading and executing a range of strategic and ad-hoc priorities, ensures coordination/execution of annual planning for the Faculty, and manages human resources functions for the Dean.

What You\'ll Be Doing

  • Leading strategic development and management of Faculty budgets, ensuring effective and efficient allocation of fiscal and physical resources across the Faculty;
  • Supporting the Dean in optimizing the financial performance and resource allocation and providing financial leadership for variance analysis, problem identification, as well as corrective recommendations;
  • Leading the annual capital and asset management planning processes for the Faculty in collaboration with the academic leaders as well as cross-College stakeholders;
  • Making recommendations to the Dean on resource allocation;
  • Ensuring coordination of annual planning for the Faculty and alignment with related institutional processes;
  • Leading the assessment of progress towards established goals and capturing results across the division;
  • Identifying and helping to addresses barriers to outcome delivery;
  • Managing human resources (e.g. role development, documenting temporary assignments, engaging consultants, etc.);
  • Performing other related duties, as assigned.

The successful candidate will also meet the following qualifications:
  • 4-year degree in Business, Finance, Accounting or related field; MBA or Masters in Business, Finance or Accounting is preferred;
  • 5 years of financial management, reporting and budgeting experience, preferably in post-secondary education (equivalency to be considered)
  • Accounting designation (e.g. CPA, CA/CMA/ CGA)
  • Progressive accounting and financial leadership experience including financial accounting, budget and management/cost accounting; thorough understanding of Generally Accepted Accounting Principles (GAAP)
  • Demonstrated skill in quantitative financial analysis and use of financial software data tools to maintain financial models, forecasts and automated financial reports
  • Excellent knowledge of contract law
  • Experience with Provincial /Federal legislation related to Purchasing
  • Experience with Tender/RFP writing
  • Budget and financial acumen
  • Experience with Activity Based Budgeting (ABB) and knowledge of funding within the post-secondary sector in Ontario will be considered an asset
  • PeopleSoft experience will be considered an asset
