Key Responsibilities:
- Provide strategic administrative support to senior executives, managing complex calendars, coordinating high-level meetings, booking global travel, and overseeing sensitive communications with discretion and professionalism.
- Proactively manage and prioritize dynamic executive schedules to ensure alignment with business priorities, anticipating conflicts and enabling seamless daily operations.
- Serve as a trusted liaison between executives and internal/external stakeholders, handling confidential communications and facilitating timely, effective information flow across departments.
- Prepare, review, and refine executive-level reports, presentations, and business documents with a high degree of accuracy and attention to detail
- Lead the planning and execution of board meetings, executive offsites, and internal events, managing logistics, materials, and vendor coordination to ensure a high-impact experience.
- Oversee office-related administrative functions, including expense reporting, procurement, and process improvements, ensuring operational efficiency and adherence to internal policies.
Qualifications:
- Experience: Minimum of 5+ years of experience in an Executive Assistant role supporting Executive levels.
- Education: Post-secondary education in business administration or a related field is an asset.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); Salesforce, Concur.
- Soft Skills: Excellent communication and interpersonal skills, with the ability to handle sensitive information confidentially.
- Attributes: Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
- Location: Must be able to work on-site in downtown Toronto, conveniently located within walking distance of Union Station.
