ROLE




The Senior Executive Assistant provides high-level executive, administrative, and strategic support to the Grand Chief, Executive Team, and Board of Directors. This position plays a key role in coordinating governance operations, facilitating leadership communications, and ensuring the effective flow of information across the organization. The Senior Executive Assistant serves as a central point of contact for the Office of the Grand Chief. The ideal candidate will be able to balance complex priorities, maintain confidentiality, and exercise sound judgment in all matters. This role requires exceptional professionalism, organization, and attention to detail in a dynamic, fast-paced environment.

RESPONSIBILITIES



Provide a broad range of executive-level administrative services to the GTC Executive Coordinate schedules and liaise with internal and external agencies to arrange meetings, briefings, and events. Coordinate the preparation and distribution of correspondence, reports, and briefing materials. Maintain an integrated calendar of meetings, events, and key organizational dates. Provide general office oversight and coordinate operational and administrative items as requested by the Executive. Oversee the daily management of the GTC Executive calendars, ensuring effective scheduling, prioritization, and alignment with organizational priorities. Manage and respond to incoming calls, correspondence, and emails on behalf of the Executive, ensuring timely and professional communication. Track issues, commitments, and follow-up actions; identify priorities requiring Executive attention and prepare recommendations or background information as needed. Prepare and reconcile monthly corporate credit card expense reports and related financial documentation. Support the preparation of high-level presentations, reports, and briefing packages. Schedule and coordinate Board of Directors meetings, retreats, and related committees. Prepare, format, and distribute agendas, briefing notes, reports, and presentation materials. Record, transcribe, and distribute accurate minutes of Board meetings. Track and follow up on Board action items, deliverables, and timelines. Support the coordination of governance logistics and ensure alignment between Board and Executive activities. Manage and coordinate travel and accommodation arrangements for the Executive, Leadership Team, and Board of Directors when required. Oversee meeting logistics, including venue booking, catering, technology setup, and related event requirements. Prepare and process requisitions, travel advances, honoraria documents, cheque requests, and expense claims. Perform general administrative duties such as photocopying, scanning, printing, and preparing meeting materials. Conduct research, analyze data, and prepare reports and briefing documents. Support the planning, coordination, and preparation of Special or Annual Assemblies and the Annual Report. Maintain a comprehensive understanding of GTC programs, services, policies, and procedures to provide informed administrative support. Additional duties as assigned.

QUALIFICATIONS



Post-secondary education in Business Administration, Executive Office Management, or a related field. Minimum of 5-7 years of progressive administrative experience, including 3+ years supporting senior executives or elected officials. Proven experience managing complex scheduling, governance documentation, and high-level communications. Exceptional organizational, time management, and multitasking abilities. Strong written and verbal communication skills, with advanced attention to detail and professionalism. Proficient in Microsoft Office Suite, Teams, and document management systems. Demonstrated ability to handle confidential and politically sensitive information with discretion. Knowledge of Indigenous governance, political processes, and cultural protocols is a strong asset. Valid Class 5 Driver's License
