Senior Events Coordinator - 1 year maternity leave contract with possibility to continue.



This is a remote position with occasional visits to our office in Markham (long distance travel paid by the company). All candidates must demonstrate they have a suitable home office with computer, stable internet connection and phone.

Office hours are 9 a.m.-5 p.m. ET - Monday to Friday.

Secretariat Central is a dynamic and creative association management company (AMC) looking for an exceptional Senior Events Coordinator.

The opportunity: You will provide event logistic and administrative support to our clients as part of the Conference and Events team, led by our President. As a representative of our association clients, you will be expected to represent their interests with integrity, diligence and commitment.

Starting date: End of October/Early November.

You will perform the following:



Event registration administration Email and phone communication with delegates and speakers Record meeting minutes and coordination of committee meetings Maintain and update websites Create and organize participant surveys Track collection of speaker materials (bios, presentations, etc.) and maintain accurate records Programming registration and abstract forms in conference software Assist on-site at select conferences/events, including registration desk set-up and delegate check-in, and manage the on-site run-of-show for conferences/events in Conference Manager's absence Monitor event timelines to ensure planning is staying on track Create and update conference/event agendas Coordinate event logistics for select conferences/events (room set-ups, meeting needs, etc.) Work with the Conference Manager on vendor orders while adhering to event budgets Other duties as required

Qualifications:



To do this job successfully, you must be highly organized, efficient, and able to juggle multiple priorities!*
3+ years' experience where you demonstrated similar experience and a commitment to client service excellence, even if volunteer. Ability to work independently and as part of a team; interact with internal and external contacts and respond to and follow up on their requests Ability to travel within Canada approximately 4 times a year for 3-4 days at a time Self-motivated with ability to prioritize, multi-task and demonstrate excellent organization, time management and customer-service skills Ability to work under tight timelines and with limited guidance in an ever-changing environment Superior interpersonal skills to work with staff and clients Ability to take concise meeting minutes and prepare reports Excellent knowledge and experience with the following: Word, Excel, PowerPoint, Outlook, social media, and design software (i.e. Publisher, Canva) Ability to update websites an asset Excellent written and spoken English and a happy, friendly demeanor Must be able to work occasional evenings and weekends and be able to travel You must have a strong internet connection and a quiet, designated space for work Experience working with an association, association management company, not-for-profit or healthcare organization an asset Experience working on event logistics an asset Fluency in French a definite asset Please only apply if you live in Canada and are legally permitted to work in Canada
