About the Role:

Reporting to the Project Manager, the Senior Document Controller is responsible for receiving, managing, tracking, maintaining, and distributing documents to the project team (internal and external) as per Graham\'s document distribution matrix. The incumbent is responsible for training external and internal team members on Graham\'s internal and client-based procedures and processes.

As a Senior Document Controller at Graham, you will:

  • Receive, decipher, and process documents from the client, engineering firms, subcontractors, and team members.
  • Transmit documents after confirming their accuracy.
  • Identify any discrepancies in the documents and/or submittal and notify the originator of the discrepancy.
  • Respond to discrepancies, rectifying or correcting based on a priority of tasks.
  • Enter documents into InEight, our Electronic Database Management System (EMDS) and associate all applicable metadata based on the requirements of the job.
  • InEight / EDMS configuration maintenance.
  • Carry out revision control as it pertains to hard copies and soft copies per contract requirements.
  • Ensure the DDM (Document Distribution Matrix) is maintained and updated.
  • Train the team on how to use the EDMS in the office or in the field to find documents.
  • Audit work to ensure accuracy.
  • Submit documents as per Graham\'s contractual requirements.
  • Issue weekly project reports.
  • Compile weekly reports for the project team.
  • Manage and strategize priorities, deadlines, and workload.
  • Demonstrate an understanding of the priorities and the needs of the team / project and communicate with the team accordingly.
  • Decipher project specs, understand project/contract requirements, and maintain deadlines.
  • Collaborate with document control partners to attend to clients\' needs.
  • Maintain open and effective communication with stakeholders.
  • Communicate with Project Managers, Superintendents, and other project personnel with an open line to work through issues.
  • Coaches and trains other document controllers and project coordinators.
  • Build a relationship with the members of the project team.
  • Demonstrate HSE and Quality behaviours that reflect corporate expectations of Actively Caring and Road to Zero.
Qualifications / Experience:
  • 5-7 years of relevant document control experience.
  • InEight experience is a valuable asset.
  • Proficient with SharePoint, Bluebeam, and MS Office.
  • Experience applying and understanding metadata.
  • Strong understanding of engineering drawings and terminology.
  • Keen attention to detail with a critical eye.
  • Highly organized and self-motivated.
  • Proactive mindset with the ability to think critically and solve problems.
Compensation:
  • $62,000-$93,000 per annum
  • Salary will commensurate with education and experience.
