Our Client, one of North America\'s leading energy infrastructure companies with operations in natural gas, oil and power industries throughout Canada, the United States, and Mexico has an immediate need for Senior Document Control Analyst. This is a contract position for one (1) year located in Calgary, Alberta.

Description

The Document Control Analyst in this role will be responsible for representing, acting on behalf of, and providing expertise to CGOEP user groups for information management needs. They are responsible for timely and accurate management of controlled documents and records, in accordance with corporate policies and procedures, produced by projects and/or departments. They control the numbering, sorting, filing, storing and retrieval of documents produced by technical teams, projects or departments. They ensure the proper records are captured, scanned, reviewed and approved, that all information (document properties) is accurate, and that documents and records are stored and backed up and any retention policies are followed.

Accountabilities

  • Provide guidance and support to project teams on document control requirements, properties and procedures.
  • Maintain confidentiality around sensitive information and terms of agreement or policies.
  • Receive, log, track and monitor documentation in an Electronic Document Management System.
  • Process all documentation requirements as outlined by pre-set schedules to ensure deadlines are met.
  • Perform quality assurance for all outgoing and incoming controlled documentation.
  • Ensure proper naming and metadata tagging of all documents.
  • Coordinate distribution of documentation between and third parties through transmittals.
  • Issue reviews and distribute controlled documents according to the distribution matrix.
  • Indexing and archiving hardcopy and electronic records into \'s records repositories in accordance with procedures, standards and retention requirements.
  • Sustain communication between and third parties to manage the flow of documentation.
  • Monitoring inbox and handling, distributing and completing incoming communications and inquiries.
  • Train the project team on internal and external document control requirements.
  • Recommend methods and techniques for improving quality and productivity.
  • Provide training/mentoring to junior staff.
  • Monitor all document control activities executed by project teams to ensure conformance to with corporate policies and procedures.
  • If required, attend Project Kick off meetings to present Information management requirements
  • Work with internal and external stakeholders to establish all information management protocols.
  • May be required to assist with record management archival/digitization activities based on demand.
Required
  • 10+ years of experience as a Document Control Analyst preferably with Oil and Gas or EPC Companies
  • Post-Secondary education in Records Administration/Management, Library and Information Technology or related experience
  • Experience with Indexing and archiving hardcopy and electronic records
  • Experience with Software - Bluebeam, OpenText an asset
  • Experience with Internal, External and Vault SharePoint sites, and EDMS
  • Advanced computer skills, including experience with, Excel, MS Office
  • Experience providing Quality assurance incoming and outgoing documents.
  • Experience with Training project teams on internal and external document control requirements.
  • Experience advising on all process, issues, urgent matters and directing work processes
  • Experience collaborating with team members and other stakeholders to manage and protect their information.
