CarMax is seeking a Senior Coordinator in Accounts Payable at our Home Office in Richmond, Virginia. The Senior Coordinator position is responsible for supporting our inquiries team as they respond to email and phone interactions with our customers (retail, wholesale, vendors, internal business partners, store, etc.). This position is responsible for driving the daily execution of the inquiries team, projects related to customer service, maintaining internal business partnerships, and monitoring call/email volume for the team. Additionally, this position will need to serve as primary backup for daily procure to pay process, month-end accounting duties such as journal entries, account reconciliations, and business area specific reporting.

What you will do \xe2\x80\x93 Essential Responsibilities

  • Execute day-to-day procure to pay processes including analyzing and resolving complex inquiries to the Accounting Operations team received via phone, email, or through customer management system.
  • Provide team members with guidance on how to resolve outstanding inquiries. Help facilitate the resolution of complex variances and open items as well as identify root causes or trends that need to be addressed.
  • Perform weekly trend analysis as needed or requested by leveraging established key performance indicators (KPIs), performance reporting/dashboards to guide the team toward operational goals and to make recommendations to Accounting Leadership for workload balancing or business specific trends.
  • Adhere to state, federal, and local laws as well as various regulations, company policies and SOX Controls regarding account management as well as business area specific processes.
  • Communicate sensitive and complex information to customers, internal teams, and external partners.
  • Serve as a point-of-contact to resolve questions for internal customers including team members, other internal departments, CarMax store associates, as well as external partners.
  • Initiate process improvements based on root cause analysis to enhance the customer experience.
  • Represent the team as needed or requested to support cross-functional projects or initiatives. Communicate updates to the team and Accounting Leadership.
  • As requested, perform accounting functions, including daily procure to pay processes, reconciling general ledger accounts, and preparing journal vouchers monthly.

  • Must be able to sit onsite, as requested, at CarMax\xe2\x80\x99s Home Office in Richmond, Virginia.
Education and/or Experience
  • High school diploma or equivalent required; Bachelor\xe2\x80\x99s degree in business a plus
  • 3+ years of business-related experience required, including 2+ years account reconciliation experience and managing accounts receivable or accounts payable highly preferred
  • Customer service experience via email and phone highly desirable
  • Strong accounting skills including general knowledge of generally accepted accounting principles (GAAP) highly desirable
  • Experience in Cloud ERP solutions (e.g., Oracle) a plus
  • Intermediate level of Microsoft Excel required (e.g., Filtering, VLOOKUP, Subtotals, Shortcuts, Pivot tables)
  • Proficient in Microsoft Word, PowerPoint, Teams, Outlook required
Work Location and Arrangement: This role will be based out of the Richmond, VA Home Office and have a Hybrid work arrangement.

Work Authorization: Applicants must be currently authorized to work in the United States on a full-time basis.
