Overview

Located in our (location) office and reporting to the Managing Director and Operations Manager, this role includes daily real estate administrative support in a fast-paced environment. As a Senior Client Services Coordinator (\xe2\x80\x9cSr. CSC\xe2\x80\x9d), you will provide sales, marketing, and research support along with general office administration to our brokers and clients. Your responsibilities will be an exciting mix of providing presentation support, listing and offer preparation, property marketing and client reporting, conducting market research and transaction administration, all while coordinating promotional and post sales marketing materials (under the direction of our marketing team).

The ideal candidate will have either a minimum of three years\xe2\x80\x99 experience in the real estate industry and/or a diploma/degree relevant to real estate. This role is suited for someone who is passionate about real estate and whose preference is to have a successful real estate career in an administrative capacity.

Responsibilities

The key responsibilities of a Senior Client Services Coordinator include, but are not limited to, the following:

Marketing Support

  • Marketing and administrative support for a high-performing team of brokerage professionals.
  • Organize, create, prepare, and produce marketing materials including brochures, proposals, client-specific packages, presentations, HTML e-mail blasts, invitations, signage, and digital/print advertisements.
  • Manage large-scale, custom property marketing campaigns, including but not limited to naming strategy, brand development, marketing/sales rollout strategy, collateral execution, client communication, budget management, reporting and tracking.
  • Hire and manage external vendors, including but not limited to branding/creative agencies, graphic designers, photographers, videographers, print suppliers, signage companies, PR agencies and media publications.
  • Plan and execute client events.
  • Proofread copy for spelling, grammar, and layout, and be responsible for the accuracy and clarity of final copy.
  • Lead all digital marketing initiatives, including website updates, social media posts and paid advertising.
  • Lead all communication strategies, including consulting with internal and/or external PR teams.
  • Establish and implement innovative marketing objectives and procedures to raise the brand profile of the team, drive business development opportunities, and ensure efficiencies.
  • Work closely with the internal Marketing team to ensure Avison Young brand compliance across all marketing initiatives.
  • Ongoing administrative support, as required.
Research
  • Research competitive landscape, keeping up to date with current and future projects.
  • Research innovative marketing strategies and technologies.
  • Pull title searches, zoning/planning documents and vacancy/sale information, as required.
  • Update CRM database with current market and client information.
Qualifications

To perform this job successfully, an individual must be able to perform each essential task at an above average level. The requirements listed below are representative of the knowledge, skill and/or ability required.

Required Technical Skills:
  • Intermediate knowledge and efficient use of business suite computer programs including Microsoft Word, Excel, PowerPoint, and Outlook.
  • Intermediate knowledge and efficient use of Adobe Creative Suite programs, including InDesign, Photoshop, and Illustrator (PC platform).
Required Soft Skills:
  • Excellent and effective verbal and written communication skills.
  • Detail-oriented with strong organization skills.
  • Ability to multi-task, utilize effective time management skills, and be able to recognize and respond to time sensitive issues and tasks in a fast-paced environment.
  • Ability to work efficiently under pressure with multiple deadlines and with limited direction/supervision.
  • Ability to pivot regularly among competing priorities in an organized manner.
  • Ability to maintain discretion regarding confidential assignments.
  • Possess traits of independent thinking, self-starting initiative.
  • Ability to identify areas for process improvements and suggest creative solutions.
  • Courteous interaction and clear communication with all members of the Avison Young team and all external companies.
  • Exceptional customer service while executing on specific assigned tasks.
  • Ability to work outside of standard business hours as required by high priority mandates.
Certifications / Experience:
  • Degree and/or diploma in marketing, communications, business, real estate or related field.
  • A minimum of 2 years of experience in a real estate marketing or administrative role.
Required Time Commitment:
  • Availability to work after normal business hours on time-sensitive assignments
