We are seeking a Bilingual Senior Operations Documentation Support Specialist to join our close-knit team. In this role, you will be responsible for managing our inventory of operational client-facing, advisor-facing, and head office administrative documentation. Your main focus will be on improving the client and advisor experience through the simplification and redesign of operational forms.

Key Accountabilities

Identifying opportunities to optimize forms and forms completion process with a focus on continual improvement of forms and ongoing review of forms use and function.

Recommend controls by identifying problems with Operational forms and subsequent workflows; working with Operations management team to improve procedures

Ensuring that all client and advisor Operational forms are up to date and compliant with regulations, trust requirements and applicable law and are available in both English and French

Working with vendors (as needed) to digitize and automate forms for digital onboarding systems

Creating forms and associated help guides or help documents for all Operational teams in conjunction with the Directors and AVP\xe2\x80\x99s of Operations.

Ensuring that forms are clear and intuitive for clients and advisors to complete and that any related forms instructions are clearly communicated

Identifying, recommending and implementing process improvement opportunities for Operational forms development and maintenance

Remaining current on regulatory changes through regular contact with Compliance to ensure that Operational forms reflect any mandated changes in a timely manner

Contribute on a weekly basis to relevant Operational content for the IA Private Wealth newsletter (360).

Scheduling and contributing content for the Monthly Operations calls.

Responsible for the Operations quadrant of Wealth Link; updating information, ensuring pages and links are accurate and active, publishing information, updates and documents as needed.

Quarterly review of content in Wealth Link under the Operations quadrant; for accuracy, relevance and connectivity

Participate in requirements gathering and grooming sessions as Ops expert for our digital client onboarding initiative.

What we are Looking For:

Bilingual - Fully fluent in French and English; written and verbal

Superior communication skills, both written and verbal

Excellent judgment, problem solving and critical thinking

Strong interpersonal skills with ability to form strong working relationships

Comfort with Adobe PDF editing since role will require updating forms in PDF format

Has excellent time and capacity management skills. Being able to handle multiple complex projects simultaneously

Calm under pressure with strong leadership qualities

Robust presentation, documentation and analysis experience

Qualifications and/or experience in Business and Finance essential (IIROC/CIRO)

What Would be an Asset but not Required:

Experience working with executive leadership

Graphic design skills
