As a Senior Administrative Coordinator your responsibilities will include:

  • Accountable for scheduling, coordination, and communication for Southern Ontario Management Committee (SOMC), distributing and cascading information in a timely, accurate, and appropriate manner
  • Draft agenda, prepare meeting minutes, materials for meetings, and circulate to all members for SOMC meetings, as well as other meetings for Business Unit (BU) Senior Leadership and BU Service Line Leaders when required
  • For specific BU initiatives/projects, engage with Marketing, Events, and other Internal Stakeholders to support these initiatives, with a focus on proactively communicating internally and ensuring all stakeholders are informed. Anticipate any challenges or conflicts that could arise and offer solutions, provide insight with the knowledge of the broader view of the business needs
  • Act as a point of contact for Senior Leadership (Managing Partner and Service Line Leaders) within the BU to build relationships, trust, and accountability by proactively communicating and creating regular touchpoints
  • Effectively manage calendars and coordinate travel planning and arrangements
  • Receive, distribute, redirect, and respond to mail, email, telephone calls, reports, and other materials as appropriate. Ensure appropriate follow up action is taken where required
  • Prepare, draft, edit and format letters, reports, presentations, spreadsheets, and other client correspondence using MS Office
  • Prepare and track expense claim submissions for managing partners and service line leaders as appropriate
  • Assist in other projects or tasks associated with supporting leadership team
