Ths role will allow you to work from home the majority of the time (if you desire), however will also require you to work out of our downtown Winnipeg office, as needed.

Job Overview


The Senior Administrative Assistant provides administrative support to the VP and Department, while exercising good judgment, maintaining appropriate confidentiality, and ensuring the professional representation of the company.
Job Responsibilities
  • Manages VP\xe2\x80\x99s calendar by effectively scheduling and prioritizing meetings, while handling potential conflicts and monitoring upcoming deadlines
  • Schedule and coordinate meetings as requested, including coordinating availability of attendees, booking resources and compiling meeting documents as requested
  • Assists and prioritizes document preparation and incoming correspondence, including e-mail management, leveraging exclusive access to highly confidential material
  • Update reports with information from a wide variety of internal company and external source
  • Records, transcribes, and distributes minutes of meetings, as well as follows up on any action items
  • Maintain guidelines, reports and documents within a records management library
  • Organizes and prepares department invoices for payment
  • Prepares incoming/outgoing mail, deliveries, courier packages and letter distribution
  • Compose and distribute internal staff notifications
  • Assist with travel, conference arrangements and ensures expense submissions are within guidelines and policies
  • Performs other office functions such as: maintain office supplies, ordering of business cards, and general report generation as required
  • Provides assistance to Directors, Managers, and Supervisors as needed
  • Provides staff of the department additional coordination and administration on large projects as requested


Qualifications


  • 3 to 5 plus years of professional administrative experience, executive support experience is considered a strong asset
  • Related post-secondary education strongly preferred
  • Advanced MS Office skills, Word, Excel, and PowerPoint
  • Ability to address details and examine work carefully for accuracy and completion
  • Ability to maintain a high level of discretion when handling confidential information
  • Strong interpersonal skills with the ability to work with all levels of management and employees, gain credibility, deliver excellent customer service, and foster positive working relationships with internal stakeholders
  • Strong organizational skills including the ability to multi-task and prioritize/re-prioritize
  • Strong communications skills, both oral and written
  • Familiarity in the Property and Casualty/Life insurance industry is considered an asset
