THE OPPORTUNITY
Reporting to the Office Manager, the Senior Administrative Assistant serves as an essential pillar for the Victoria office, providing steadfast support and expertise. The Senior Administrative Assistant possesses exceptional skills, adaptability, and strategic approach to addressing the administrative challenges that arise when supporting an office with diverse personnel. This role combines high-level administrative support with specialized responsibilities in office operations and employee services. The role serves as a key liaison between employees, management, and external service providers while ensuring the smooth operation of the Conference Floor.

The Corporate Data & Operations department is a central hub that delivers essential business services across all departments within BCI. The department is comprised of three functions: Data & Analytics, Workplace Services, and Business Planning. The department facilitates BCI's corporate strategy and plays an integral role in its execution by ensuring staff have high-quality data, advanced analytics for decision-making, and well-appointed global offices for collaboration. The department is a critical part of how BCI delivers long-term value for our clients.
Workplace Services is a strategic function within Corporate Data & Operations that delivers essential infrastructure and operational excellence across BCI's global offices. We create and maintain world-class work environments that foster collaboration, innovation, and productivity, directly contributing to BCI's ability to deliver long-term value for our clients. Our portfolio encompasses safety, security, building operations, leasing, and administration, ensuring that BCI's workforce operates in safe, efficient, and well-appointed facilities. Through these integrated services, we provide the foundational support that enables every department to achieve their business objectives, facilitating both strategic initiatives and day-to-day operations.
WHAT YOU BRINGPost secondary education in Business Administration, Hospitality, Office Administration or related field and 3+ years of progressively responsible experience in office coordination and supervision in a corporate environment. An equivalent combination of education and experience may be considered.
In-depth knowledge of and experience with corporate office practices and procedures
Strong organizational, analytical, and problem-solving skills with high attention to detail to solve administrative challenges as they arise.
Proficiency in multi-tasking, demonstrate adaptability when confronted with shifting priorities, and adhering to deadlines
Aptitude for applying sound judgment to resolve sensitive matters
Excellent verbal and written communication skills
A professional and discreet manner, consistently employing tact, discretion, and diplomacy Excellent interpersonal skills, fostering collaboration and promoting positive relationships with external stakeholders and BCI staff
Proven supervision experience
General understanding of basic accounting and reconciliation practices
WHAT YOU WILL DOCoordinates event and meeting logistics including room setup, catering, and additions equipment
Oversees daily workplace operations and coordinates repairs, maintenance, and facility improvements of the Conference Floor
Monitors Conference Floor facilities to ensure premises are well-maintained
Maintains office supplies and ensures adequate inventory levels in each supply room
Handles incoming calls, directs visitors, and manages front desk operations
Provides calendar management for department Senior Vice President and Senior Directors as required
Prepares spend authorizations for department travel
Serves as the Innovation Champion for the department
Arranges department travel, accommodation and ground transportation
Processes travel expenses and reconciles travel related costs
Provides administrative support for the Data & Analytics branch
Prepares department communications including department meeting invites and agendas
WHERE YOU WILL WORK
Work from our office in downtown Victoria, BC.
SALARY RANGE
The annualized base salary range for this role is CAD $66,000 - $77,000.
BCI offers a competitive total rewards package, including a performance-based incentive plan, comprehensive health & dental benefits, a defined benefit pension plan, and paid time off. We pay our people competitively in the markets in which we operate and with consideration for internal equity and job structure. The base salary will consider factors such as the individual's skill set, experience, and internal equity. We aim for actual pay to be around the market median for expected performance and the upper quartile for excellent performance. Actual salaries may vary based on experience and expertise.
