About the Role:




We are seeking a

Senior

Administrative Assistant

for our Pension Policy team

.

The Senior Administrative Assistant, Pension Policy provides high-level administrative and coordination support to the Vice President, Pension Policy and the Pension Policy leadership team. The successful incumbent supports the efficient operation of the department, enabling the execution of strategic and business as usual priorities. The Senior Administrative Assistant ensures efficient workflow management, supports the delivery of Board of Trustees and senior leader reporting, maintains knowledge repositories, and acts as a key liaison with internal and external stakeholders. The incumbent contributes to the overall effectiveness of Pension Policy by ensuring that complex priorities are tracked, documented and delivered with precision.

As the Newest Member of our Team, You'll:



Provide integrated administrative, scheduling and coordination support to the Vice President, Pension Policy and the leadership team, ensuring smooth execution of departmental priorities and deliverables. Prepare agendas, presentations, and supporting materials for meetings; take minutes and ensure timely follow-up on action items. Organize Pension Policy team meetings, workshops, and events, including logistics, catering, and record keeping. Manage the policy intake process and knowledge repositories (e.g., trackers, SharePoint) to ensure timely resolution and preservation of institutional knowledge through documentation. Support the preparation, consolidation, and quality review of management and Board reporting, including policy updates, regulatory submissions, and governance items. Collaborate with administrative staff, project management and other departments to coordinate the completion of cross-functional deliverables. Proofread and edit policy communications, reports, and presentations, ensuring clarity, professionalism, and alignment with governance standards. Manage expense reporting, approvals, and submissions to Finance, and coordinate travel and training for the Pension Policy team.

To Succeed, You Bring:



Minimum five (5) years of experience providing administrative support to senior leaders within a fast-paced, changing work environment. Post-secondary diploma in a relevant field is preferred Superior organizational skills, including the ability to anticipate needs, manage multiple priorities, and proactively resolve issues. Advanced proficiency in Microsoft 365 and comfort with adopting new technologies, including AI-enabled tools and project/work tracking systems. Proven ability to build trusted relationships with senior leaders and cross-functional partners. Excellent written and verbal communication skills with strong attention to detail; ability to ensure clarity and consistency in technical policy-related materials. Demonstrated professionalism, discretion and possess a high degree of tact when working with stakeholders and handling sensitive or confidential information. Experience supporting governance, compliance, or policy functions considered an asset, as is experience working in pension and/or group benefits administration.
