Position Overview
The incumbent provides efficient, expert and confidential administrative and secretarial support to the Vice-presidents of the above-mentioned services. The Administrative Assistant acts as a point of contact among executives and key stakeholders, manages information flow in a timely and accurate manner and supports the Vice-presidents with tasks such as scheduling; reviewing, prioritizing, and responding to emails; drafting correspondence; handling telephone inquiries,problem-solving/troubleshooting; organizing documents; maintaining records; preparing agendas, taking notes at meetings and any other administrative tasks.

The incumbent will operate in a manner consistent with HGH\xe2\x80\x99s mission, vision and values. The Administrative Assistant must function with a high degree of independence and autonomy in many day-to-day aspects of the role. The incumbent must also demonstrate a high degree of discretion and professionalism in all aspects of the role.

REQUIREMENTS:
Qualifications

  • College diploma in Administrative assistant program, or equivalent
Experience
  • 5 years of Senior administrative assistant experience and knowledge of Office Management Concepts
Skills / Abilities
  • Excellent interpersonal relationship and communication skills (oral and written), both in French and English;
  • Demonstrates professional behaviour and image at all times;
  • Excellent organizational skills;
  • Demonstrates the ability to manage multiple and competing priorities;
  • Ability to work in an independent and autonomous manner;
  • Demonstrates the ability to foster collaboration in an interdisciplinary team setting;
  • Ability to anticipate others\xe2\x80\x99 needs and proactively act based on knowledge;
  • Ability to multitask in a fast-paced environment;
  • Ability to interpret documents such as insurance, agreements, forms, etc;
  • Excellent knowledge of the Microsoft Office Suite.
PERMANENT FULL-TIME POSITION
37.5 hours per week (Monday to Friday) with occasional evening availability to participate in events.
Criminal Check

As a pre-condition of employment:
All new HGH employees will be required to obtain and provide a satisfactory Police Records Check dated within six (6) months from the date of issue.
