About this opportunity:
The Senior Administrative Assistant to the Vice-President, Conventional Development and Vice-President, Land will perform a wide variety of complex and confidential administrative duties and have a strong communication role in support of the VPs and other senior leaders in the Conventional Department. The successful candidate will interact as a liaison with executive staff members as well as business representatives across the company.
The Senior Administrative Assistant will perform duties requiring confidentiality and sensitivity, initiative, tact, maturity, and independent judgment. The role will have regular contact with Senior Executives and other leadership teams, and act as an ambassador for the VP, Conventional Development and VP, Land within and outside of the organization. Strong interpersonal, organizational, and communication skills are required. Issues and inquiries will be handled on behalf of the VP\xe2\x80\x99s and leadership team, including items related to personnel, budget, and strategic information. The role will be responsible for planning meetings and coordinating strategy sessions, including securing locations, coordinating food and beverage menus, transportation, and other logistics.
Responsibilities:
Provide administrative support to multiple executive leaders and their teams, within Conventional business
Maintain confidential information including personnel. Additionally, all Conventional A&D projects
Proactively seek out opportunities to improve processes and initiatives that directly impact the functional teams
Self-starter, who can prioritize workload independently, while working under pressure and quickly adapting to changing priorities
Liaise between Corporate business partners, and the functional teams
Coordinate meetings as well as preparation/distribution of correspondence, reports and presentations
Plan and arrange Leadership sessions, including logistics and content creation
Support the preparation of the annual managed G&A budget. Monitor spend and forecast along with other general accounting functions
Generate expense statements and invoices for payment
Plan team events/activities, and recognition for the functional teams
Manage all leadership field travel arrangements
Maintain a strong partnership with the broader administrative network for exposure, cross training, and support
Logistics coordinator for onboarding, workplace requests, and all other office inquiries
Qualifications:
Legally eligible to work in Canada
10+ years of administrative experience
Preference will be given to those who have worked in the Oil and Gas Industry
Significant experience working in Microsoft Outlook, Teams, SharePoint and PowerPoint required
Highly proficient in all other Microsoft Programs (Excel, Word, OneNote, etc.)
Exceptional written and verbal communication skills
Well-developed team skills and a collaborative working style.
Experience handling highly sensitive information with discretion and professionalism
Proven ability to work well under pressure in a fast-paced environment with a positive attitude
Impeccable attention to detail
Demonstrated ability to communicate effectively across all levels of the company and with external contacts
A high degree of initiative and self-motivation with consistent desire to go above and beyond in all capacities
