Job Overview
We are seeking a detail-oriented and organized Senior Accountant and Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our front office by managing various financial and administrative tasks, supporting financial processes, and maintaining effective communication within the team. This position requires a strong proficiency in accounting, with a strong understanding of payroll, accounts payable, and accounts receivable functions.
Responsibilities
Lead full-cycle accounting: journal entries, reconciliations, trial balances, and maintain general ledger of accounts
Oversee accounts payable and accounts receivable functions to maintain financial accuracy
Process payroll and ensure accurate accounting for employee hours and benefits.
Preparation of tax filings and regulatory compliance reports (GST/PST, T4s, T5018s, and WCB)
Prepare monthly financial reports, cash flow tracking, job costing, and performance summaries
Conduct monthly bank account and credit card reconciliation to ensure all financial records are up to date to verify transactions and balances
Provide strategic support to management by preparing reports and presentations as needed to support budgeting, and forecasting requirements
Assist with account analysis to identify discrepancies or areas for improvement.
Coordinate monthly progress billings with Project managers
Utilize accounting software such as QuickBooks and Sage for financial reporting and analysis
Maintain organized record of financial documents and correspondence.
Liaise and coordinate with external accountants for year-end financials
Optimize systems and workflows for office and financial operations
Mentor and oversee office staff; build a culture of accountability, clarity, and momentum
Requirements
Degree or diploma in accounting, finance, or business administration (or actively working toward a designation)
4+ years of accounting/bookkeeping experience (construction industry or trades environment preferred)
Strong grasp of financial processes, payroll, remittances, tax filings, and compliance requirements
A natural leader who thrives on building structure, processes, deadlines, and problem-solving
Eager to identify, create, and implement new systems, workflows, and procedures that improve accuracy, efficiency, and alignment with company goals
Excellent organizational and multitasking skills
Proficient in QuickBooks Online, Sage 50, MS Excel, Outlook, and Word
Proactive mindset: identifies gaps, proposes solutions, and takes initiative without being asked
Experience managing or mentoring a small team is a strong asset

Positive, can-do attitude with the energy to handle challenges and support others
