Position Summary
Reporting to the Chief Credit Officer, the Secured Lending Administrator is responsible for providing administrative support and ensuring the smooth processing of secured loan applications and ongoing loan management.
Key Responsibilities
Receive, review, and process secured loan applications from customers.
Verify application completeness, perform preliminary assessments, and coordinate with customers and internal stakeholders to gather required documentation.
Assess collateral for secured loan, such as real estate, vehicles, or other assets.
Coordinate with appraisers, legal professionals, and external vendors to obtain accurate collateral valuations and ensure compliance with lending policies.
Prepare and review loan documents, including promissory notes, security agreements, and other legal documents.
Ensure accuracy, completeness, and adherence to regulatory and internal compliance requirements.
Coordinate loan disbursement processes, including verification of conditions, documentation, and funds transfer.
Maintain accurate loan records and update loan servicing systems with relevant information throughout the loan lifecycle.
Provide exceptional customer service by addressing customer inquiries, clarifying loan teams, and providing timely updates on loan status.
Collaborate with relationship managers and other teams to ensure a positive customer experience.
Identify and mitigate lending risks by performing due diligence on loan applications, assessing creditworthiness, and adhering to internal policies and procedures.
Monitor loan covenant compliance and proactively address potential issues.
Ensure compliance with regulatory guidelines, such as the Office of the Superintendent of Financial Institutions (OSFI) and Anti-Money Laundering (AML) requirements.
Stay updated with industry regulations and implement necessary controls.
Prepare reports and maintain accurate records of loan portfolios, disbursements, repayments, and delinquencies.
Generate reports for management and regulatory purposes.

You are an industry professional with a BA in Finance, Business Administration, or a related field. Ideally, you have relevant certifications, such as the Canadian Securities Course (CSC). As a professional, you have 2+ years of experience in lending operations, loan administration, or a similar role within the banking or financial services industry.
You are knowledgeable about secured lending practices, loan documentation, and regulatory requirements. You are familiar with collateral evaluation and appraisal processes, and are proficient in loan origination systems and loan servicing platforms.
You have strong customer service, interpersonal relationship building, and listening skills.
You have what it takes and are energized by a fast-paced, dynamic working environment where teamwork is key to success.
You know that attention to detail and discretion when dealing with confidential and sensitive information matters.
As a creative problem solver, you know how to analyze data to better understand potential risks, concerns, and outcomes of decisions.
