We're looking for a proactive and professional Clinic Administrative Assistant to join our dynamic team.

Summary
As a key member of our clinic team, you'll help ensure smooth daily operations and an exceptional patient experience. Your responsibilities will include:
Managing phones, emails, and patient inquiries with warmth and professionalism and within PHIPA guidelines.
Booking and managing appointments using Jane EMR
Managing the schedule
Handling direct billing and assisting with payments and insurance submissions
Ordering clinic supplies and maintaining stock
Preparing treatment rooms and sterilizing tools for patient care
Supporting clinicians with daily scheduling and administrative needs
Ensuring the clinic environment is organized, efficient, and welcoming
Responsibilities
Manage front desk operations, ensuring a welcoming environment for patients.
Oversee administrative tasks including filing, scheduling, and clerical duties.
Maintain accurate patient records and manage office supplies.
Coordinate communication between patients and healthcare providers.
Assist with bookkeeping and payroll processes as needed.
Ensure compliance with clinic policies and procedures.
Qualifications
We're looking for someone who brings both technical and interpersonal strengths to the role:
Strong computer and EMR skills (experience with Jane App an asset)
Excellent communication and emotional intelligence
Strong critical thinking and problem-solving abilities
Professional, positive, and team-oriented attitude
Great attention to detail and ability to multitask
Prior experience in a healthcare or rehabilitation setting is an asset
