JOB SUMMARY:




Under the direction of the District Stroke Coordinator or designate, the Secretary is accountable for providing prompt, accurate, efficient clerical services to Urgent TIA Clinic and Urgent Neurology Clinic and District Stroke Centre. The Secretary accomplishes this by providing a range of clerical duties including: typing, filing, photocopying, faxing, reception, arranging meetings, recording, preparing and distributing minutes of all department meetings, appointment scheduling, develop and maintain statistical data, medical dictation transcription, mail handling, ordering office supplies, coordinating the maintenance of office equipment and ensuring confidentiality of all client related and administrative files/ information. Data Collection: Review all code stroke activations in Cerner, collect data elements, prepare monthly dashboard reports, and prepare graphs and reports for quarterly meetings. Review all ED and inpatient stroke admissions and collect mandatory data elements. Perform data quality audits and prepare reports. Participates in discussions and data collection for research projects on an ad hoc basis with members of program.



This position requires an individual with a significant degree of independence, organizational skills and good judgement. The Secretary complies with the Occupational Health and Safety Standards for the hospital and is proactive in promoting a safe work environment.


QUALIFICATIONS:



Taking meeting minutes

Understanding of stroke data collection elements and code stroke process

Exemplary interpersonal & written/verbal communication skills


Excellent organizational and information/data management skills


Demonstrated ability to work independently, coordinating and prioritizing multiple assignments


Excellent judgment and decision making skills


Maintain and foster confidentiality in all aspects of written and verbal communication

General good health and a level of fitness appropriate for the demands of the position

Excellent organizational and time management skills

Demonstrates ability to work independently and as an effective team member



EDUCATION/TRAINING EXPERIENCE:




Grade 12 Education -

required;



Completion of a Community College Office Administration - Medical, diploma

required



Minimum of one year related experience in a health care environment or an equivalent combination of education and experience

Medical terminology -

required (will be tested)



District Stroke terminology-

required

(will be tested)



Knowledge of computer programs such as Microsoft Excel and Word, -

required (will be tested)




Knowledge of Microsoft Excel (Advanced) -

preferred (will be tested)
