Job Description

The Town of Mount Royal is seeking a secretary for a full-time, temporary, three month period position with a possibility of extension.


The work consists in making secretarial tasks of nature varied to bring an administrative support.




EXAMPLES OF TASKS PERFORMED




Receives the mail, reads and interprets, and forwards it to whom it may concern. Prepares correspondence of a typical nature. Verifies correspondence to be sent and ensures that it does not contain errors. Performs a follow-up on the progress of documents and deadlines; sends the necessary reminders to the appropriate people. Receives, calls and transmits phone calls; welcomes the visitors; obtains and provides information that is available. Types various texts from notes taken by the supervisor in stenography or with another method of fast writing, or other documents. Manages the schedule of their superior. Makes travel arrangements for their superior (transportation, accommodation, advance, report of spending, etc.). Provides the preparation material for meetings, and proceeds with the convocation. Attends meetings, takes notes deliberations and drafts reports or minutes. Collects and amalgamates data from diverse sources. Performs other diverse secretarial tasks such as simple writings, operates the usual office equipment (photocopier, telefax, calculator, etc.). Performs all other related tasks.





REQUIRED PROFILE

The successful candidate will meet the following conditions:


Have a diploma of vocational studies in a related area of study or industry; Possess at least two (2) years of experience in a similar position in a relevant sector.

French stenography or another method of fast writing; English stenography or another method of fast writing (for the position that requires it); French; English (for the position that requires it);
Dactylography and word processing; General office and secretarial work.

Knowledge of English is a requirement due to potential interactions with the Town's citizens.*
