Job Summary


We are seeking a highly organized and professional Secretary to provide administrative support in a dynamic office environment. The ideal candidate will possess strong clerical skills, excellent communication abilities, and proficiency with various office software. This role involves managing daily office operations, supporting customer service efforts, and ensuring smooth workflow across departments. Experience with medical or dental offices is a plus, but not required. The Secretary will serve as the first point of contact for clients and staff, maintaining a welcoming and efficient front desk presence.

Duties



Manage multi-line phone systems, answer inquiries, and direct calls appropriately Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks Handle filing, document proofreading, and organization of office supplies Support customer service efforts by assisting clients with appointments and general questions Assist with bookkeeping tasks including basic bookkeeping and financial record keeping Maintain front desk operations, including greeting visitors and managing appointment schedules Support administrative tasks such as calendar management, email correspondence, and report preparation Ensure the office environment is tidy and organized to promote efficiency Provide support for medical or dental office functions if applicable, including patient check-in/out and insurance documentation

Experience



Previous clerical or administrative experience preferred, especially in medical or dental offices Proficiency with Microsoft Office (Word, Excel, Outlook), Google Workspace, and QuickBooks is highly desirable Strong computer skills including data entry, typing, and proofreading capabilities Experience with multi-line phone systems and front desk operations Excellent organizational skills with attention to detail and accuracy Customer service experience demonstrating professionalism and phone etiquette Knowledge of bookkeeping or basic financial record management is a plus Prior experience in a medical or dental office setting is advantageous but not mandatory
Job Types: Full-time, Permanent, Fixed term contract, Casual, Freelance
Contract length: 4 months

Pay: $24.00 per hour

Expected hours: No more than 85 per week
