The work consists of performing a variety of secretarial tasks to provide administrative support.
EXAMPLES OF TASKS PERFORMED
Receives the mail, reads it, and forwards it to the right person.
Writes routine correspondence.
Verifies correspondence to be sent and ensures that it does not contain any errors.
Follows up on the progress of documents and deadlines; makes the necessary reminders to the persons concerned.
Receives, places and transmits telephone calls; greets visitors; obtains and provides available information.
Types a variety of texts from notes taken by the incumbent in shorthand or other rapid writing method, or from other documents.
Keeps the agenda of his superior.
Makes travel arrangements for supervisor (transportation, lodging, cash advance, expense reports, etc.)
Carries out the material preparation of meetings, and proceeds to the convocations.
Attends meetings, records proceedings and prepares minutes or draft minutes.
Collects and collates data from various sources.
Performs a variety of other simple secretarial and clerical tasks; operates standard office equipment (photocopier, fax machine, calculator, etc.)
Operates a word processor or microcomputer, if necessary, using appropriate programming.
Performs all other related tasks.
REQUIRED TRAINING AND EXPERIENCE
Hold a diploma of professional studies, appropriate program of study and sector.
Have two (2) years of experience in a similar position in a relevant sector.
REQUIRED QUALITIES
Knowledge of:
French shorthand or other rapid writing method
English shorthand or other rapid writing method (for positions requiring it);
French;
English; Typing and layout;
General office and secretariat practices.
Knowledge of English is a requirement due to interactions with the Town's residents.
Skills and abilities:
demonstrate tact and courtesy;
perceive details and identify errors in texts;
communicate with ease;
write standard correspondence;
guide and direct the work of employees;
operate standard office equipment;
transcribe date accurately.
