The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.Position OverviewReporting to the Administrative Assistant, the incumbent assists the Administrative Assistant in providing secretarial support to approximately 70 staff members in Occupational Therapy and to ensure the effective, efficient provision of reception and effective office operations.Specific duties include acting as a receptionist for the area greeting and directing patients and their families as well as internal and external individuals. Oversees the waiting area, schedules appointments and receives incoming calls, answers routine inquiries, takes and relays messages, receives incoming internal and external deliveries of supplies and equipment. Maintains a current knowledge of the services offered by the Department.Processes patient referrals, coordinates patient referrals and appointments for outpatient programsTypes and disseminates a variety of kinds of correspondence, client reports, discharge summaries, forms, databases and spreadsheets.Experience

  • One year related office and reception experience required, two or more years preferred.
  • Previous secretarial experience in a health care setting and experience with EPR and Accuro electronic patient scheduling systems preferred.
Education (Degree/Diploma/Certificate)
  • Complete high school education, Manitoba standards, required.
  • Successful completion of a recognized secretarial training program, or equivalent experience, required.
Certification/Licensure/RegistrationNot ApplicableQualifications and Skills
  • Typing 50wpm and medical terminology.
  • Demonstrated proficiency in the use of Microsoft Office (Outlook, Word, Excel and Access) required.
  • Must have excellent interpersonal and English communication skills, both written and oral.
  • Knowledge of Occupational Therapy and services offered would be an asset.
  • Preference will be given to those applicants competent in an Indigenous language and/or knowledge in Indigenous customs, traditions and values.
Physical Requirements
  • Reception is located in a high traffic area and interaction with the public and professional staff in person and by telephone is continuous.
  • Frequent interruptions of ongoing activities are required to assist clients or staff members; must be able to deal with interactions and constant interruptions in a courteous and effective manner.
