About Our Opportunity

Under the general supervision of the Manager of Collections, the Collections Assistant is responsible for supporting administrative and secretarial functions of the Collections Unit. This includes assisting with general requests and public enquiries to the Collections Unit, assisting with museum collections record keeping, and performing typing, filing and correspondence duties. Provides administrative support to the Collections Manager and assists with museum projects, including publishing and enquiries programs. Works as part of the Museum collections team.

This is a Part-Time (50%), Permanent employment opportunity.

About You

To be successful in this role you have experience in a museum environment and are familiar with government workflows and office practices. Experience in Museum collections would be an asset.

Candidates should demonstrate experience in administrative processes, filing, drafting documents and responding to public and stakeholder enquiries. They must have experience working with a range of stakeholders and the ability to work collaboratively with museum Curatorial and collections staff. Experience should include but not be limited to:

  • Strong administrative skills
  • Direct experience working with Museums will be considered an asset.
You possess well-developed organizational and communication skills (both oral and written) and have experience working with relevant administrative computer systems and software. An interpersonal style that promotes cooperation and collaboration in a fast-paced museum environment, and a commitment to public service excellence are required.

Qualifications and Experience

The ideal candidate is friendly, courteous, and outgoing; values teamwork, works well with others and demonstrates tact, listening skills and a positive attitude.

The candidate will possess the following qualifications:
You have completed a one-year business course and have three years of related experience. An equivalent combination of training and experience may be acceptable.

You have advanced skills in MS Office Products, including Outlook, Word, Teams, Excel, and PowerPoint, as well as experience with Adobe Creative Cloud. You have excellent data entry, proofreading and grammatical skills. You are conscientious about and accurate with your work and have well developed prioritization, time management and organizational skills to effectively manage a high volume of competing tasks in a busy office environment.

You are a self-directed learner with excellent problem-solving skills. You take initiative to identify opportunities to improve the way things are done, and are resourceful, flexible, adaptable, and committed to providing timely, quality service to the public.

You have strong communication and interpersonal skills and consistently maintain a respectful, professional, and courteous manner with colleagues and clients. You demonstrate an understanding of, and commitment to, equity, diversity, and inclusion.

Experience working with heritage or cultural organizations is an asset

Pay Grade: CL 18

Salary Range: $1,675.62 - $1,874.80 Bi-Weekly
