Reports directly to the Controller and/or the Manager of Payroll and Benefits
Process casual, support, teachers and substitute payrolls, and others as required
In the Manager of Payroll's absence, or in times of high demand, may assist in:
+ Maintaining personnel positions and reconciliations of payroll
+ Maintaining and balancing employee benefit packages
+ Informing employees regarding benefit packages and coverage
+ Issuing Records of Employment (ROE's)
+ Year-end payroll functions and T4's
+ Enrolling employees into municipal or teacher pension & benefit plans
+ Balance payroll accounts for various purposes and maintain employee database functions
+ Preparing payroll remittances for pension plans, RRSP, and Receiver General Process purchase orders and enter invoices against purchase orders
Prepare and process payments to vendors, employees and payroll benefit providers
Prepare invoices for external entities regarding payroll and finance transactions
Track data for Ministry reporting purposes
Import cleared cheques from bank and clear payroll cheques to facilitate bank reconciliation process
Receipt and prepare deposits
Process and enter accounts payable invoices
Update and create new vendor data
Process and prepare transportation payments
In addition to payroll, provide assistance and backup for all accounts payable and finance functions
Prepare and post MasterCard transactions for district cardholders
Reconcile vendor statements
Create journal entries, as required
Other duties as required
Required Skills:
Minimum Grade 12 completion
Payroll Compliance Practitioner Program (National Payroll Institute)
Current successful hands-on experience in producing payrolls (Testing may be required)
Office Administration Program (1 academic year) (e.g. Administrative Assistant or Applied Business Technology)
Accounting 11 or equivalent
Strong technical skills and abilities in the Microsoft Office package (such as successful completion in the following courses): (Testing may be required)
+ Microsoft Excel Advanced Course
+ Microsoft Word Advanced Course
+ Internet & E-mail
+ General knowledge of Accounting Procedures and Software Excellent written and communication skills
Exercises a high degree of organization and accuracy
Ability to work both independently and as a member of a cooperative team
Ability to perform under pressure and meet constant deadlines
Ability to maintain confidentiality
Ability to serve employee clientele in a respectful, sensitive manner

The starting hourly rate of pay for this Secretarial position is $32.08 per hour. All continuing positions receive a competitive benefits package and pension.
