TITLE: SEASONAL Receptionist REPORTS TO: Whitehorse Client Relations Base Manager and Assistant Client Relations Base Manager LOCATION: Whitehorse, YT STATUS: SEASONAL; Monday - Friday, 0700 - 1500. RATE: $23.11 to $25.00 hourly. START DATE: First - Second week of May JOB SUMMARY: As part of the Alkan Air team, you will be responsible for providing support to the operations department through a wide variety of tasks and duties including greeting customers, tracking commissary, tidying customer areas, and completing clerical duties. Receptionist would be involved in checking clients in for their flights, communicating last minute manifest changes to operations, and answering and fielding phone calls as required. Additionally, receptionist would track inventory and required water tank refills, recycling, and shredding needs. Job-Specific Duties/Qualifications: PRIMARY DUTIES \xc2\xb7 As a front-line worker, you must present a positive and professional image of the organization to all visitors, suppliers, inquiries, and other interactions \xc2\xb7 Answer phones when requested and refer all inquiries to the appropriate individuals, or departments across the organization \xc2\xb7 Take and record and forward telephone, e-mail, or written messages for staff members as required \xc2\xb7 Receive and distribute all forms of mail, receipts, and email correspondence \xc2\xb7 Check-in passengers upon arrival and provide instruction to where their luggage can go \xc2\xb7 Ensure all forms and reports are completed as needed such as passenger sign in and communicate manifest changes to operations \xc2\xb7 Ensure compliance with our Emergency Response Plans \xc2\xb7 Administer and manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence \xc2\xb7 Maintain the reception in a tidy and presentable manner \xc2\xb7 Ensure coffee, bottled water, commissaries, etc. are ready for passengers\xe2\x80\x99 arrival. \xc2\xb7 Record and track when commissary and replenish as needed \xc2\xb7 Record and track the water tank and order as required \xc2\xb7 Empty the recycling from the admin building and take to Raven Recycling as required \xc2\xb7 Call Raven Recycling when shredding bins are full and require pick up \xc2\xb7 Call PNW to pick up cardboard when the bin is full \xc2\xb7 Take inventory of all bathroom stock and order as required ADDITIONAL DUTIES AS REQUIRED \xc2\xb7 Transport clientele to and from Alkan Air using the company van as needed \xc2\xb7 Organize, maintain, and coordinate office records and files in their proper location \xc2\xb7 Work with the Executive Assistant to ensure weekly shopping is completed and distributed between all departments \xc2\xb7 Other duties as assigned by Management/Supervisor QUALIFICATIONS: \xc2\xb7 Engaging and customer centric attitude \xc2\xb7 Arrives to work in a timely manner and is dependable \xc2\xb7 Ability to multitask, problem solve and maintain strong customer service skills. \xc2\xb7 Self starter requiring minimal direction to start and complete tasks \xc2\xb7 Strong attention to detail and the ability to communicate effectively in high pressure and time sensitive situations \xc2\xb7 Professional, polite and personable approach to dealing with clients, guests and fellow employees \xc2\xb7 Ability to manage multiple priorities and deadlines effectively \xc2\xb7 Self-motivated with a solutions-focused approach to challenges and opportunities \xc2\xb7 Customer service orientated with a strong commitment to providing excellent service \xc2\xb7 Strong knowledge of Microsoft Office products, including Excel, Word, and PowerPoint \xc2\xb7 Adapts to changing conditions and shows a willingness to help others in various departments HOW TO APPLY Please email your resume and cover letter to the listed email (we are unable to put the email in this section due to website restrictions).
