Job Description

Position Summary:



The Racing Secretary role engages with Horse owners, Trainers, Agents and Gaming Policy Enforcement Branch stewards, and other representatives and stakeholders of the racing industry to oversee all aspects of horse racing at Elements Casino Surrey, including entering early nominations, stakes races, entry days, schooling dates and the handling of all documentation of the equine athletes on site. This role is also responsible for supporting the management and communication related to the Race Office Employees / Racing Team members, and to ensure that all employee relations, coaching, and training needs are met. Racing Secretary will also communicate with Mutuels Manager for proper production of Racing programs, racing scratches, etc.


Key Accountabilities:



To create, maintain and manage classifications system, also known as the condition book, utilizing the system involved with the correspondent breed. In charge of soliciting horses for stake races. Create, receive and review stall applications from the racing association and to collaborate with Security and other designees on producing stall allocation for horse population on site. Represent the track operator in matters pertaining to business dealings with Horsemen group. Assist site management and the Horsemen association in distributing HRBC's budget for purses. Assist site Management, with planning, directing and implementing the racing operation and strategic plans, while establishing a safe and welcoming work environment for all team members. Collaborate with Mutuels management in sharing information for the overall racing programs production. Support Management and develop race office staff when pertaining. Off-season qualifiers - schooling- entries connecting with regulators, trainers, stakeholders assistance and racetrack. Other duties as assigned.

Educational and Functional Requirements:



Minimum 5 years of experience in the horse racing industry as an official and/or Racing Secretary or equivalent experience. Post-secondary education in business or a suitable combination of education and experience Thorough working knowledge of racing office procedures, horse racing operations, and regulations Must possess a professional attitude and appearance, strong interpersonal skills and must be a team player, ability to maintain confidentiality Must possess excellent verbal, written, and organizational skills, and attention to detail Excellent organizational abilities/attention to detail/accuracy Computer proficiency, particularly with using Microsoft Office and Encompass RTO Must successfully pass a criminal and credit record check by the Gaming and Policy Enforcement Branch (GPEB) Racing division
