Applications received after the "closing date for internal CUPE applicants" will be considered alongside external applicants.Full/Part TimeFull TimeSupport TypeOngoingAnticipated Start Date4/11/2024Position End Date (If Applicable)The Hours of work are subject to change depending upon departmental requirementsScheduleThe hours of work will be Monday to Friday, 7 hours a day, 8:00 am to 4:00 pmSchedule DescriptionDUTIESWorking closely with the Department Chairs and Faculty Program Coordinators, the Science Graduate Coordinator will provide a wide range of administrative, academic and logistical support to ensure the success of undergraduate and graduate students in the Faculty of Science.MAJOR DUTIES & RESPONSIBILITIES * Supports administrative functions of the faculty member responsible as the Master\'s Program Coordinator.

  • Coordinates processes around all aspects of thesis defenses, including scheduling, communicating with external examiners, and liaising with TRU\'s Office of Research and Graduate Studies.
  • Supports administrative activity of the Master\'s Program Committee.
  • Coordinates recreational/cultural/international field school activities for programs, including liaising with external suppliers, arranging transportation, and ensures activities and events are carried out following risk management protocols.
  • Organizes Seminar Series and their speaker\'s logistics and travel. Records every seminar and upload to Moodle and the website.
  • Tracks and monitors Master\'s student progress and attainment of milestones to ensure compliance with provincial standards.
  • First point of contact for assessing and screening student transcripts for program eligibility and approver of transcript and prerequisite overrides. Notifies the Chair or Faculty Coordinator of any deficiencies associated with promotion and graduation.
  • Accountable for the efficient operation of the portfolio in collaboration with faculty, Chairs, Coordinators, students and other internal and external stakeholders.
  • Populates and maintains changes to faculty workload in the FWCP and enters course information into the DCU as required by the department Chairs.
  • Prepares PSAs/ESAs/purchase requisitions following TRU procurement policy.
  • Updates and maintains the website and Moodle page of the portfolio.

Manager of Operations, Faculty of ScienceQUALIFICATIONSEDUCATION:
  • Four-year (4) Bachelor\'s degree in a relevant discipline
EXPERIENCE:
  • Three years related experience working in a post-secondary setting
SKILLS, KNOWLEDGE OR ABILITIES RELATED TO THE JOB
  • Proven competency in Advanced Word and Excel; proficient in the creation and use of spreadsheets, templates and website related information
  • Demonstrated ability to design and implement new procedures related to student services
  • Advance level skills in word processing and data entry
  • Knowledge of data bases (ie. HSPnet, Argos and Banner)
  • Advanced interpersonal skills with the ability to communicate effectively both verbally and in writing
  • Ability to deal courteously and tactfully with students, staff and members of the general public
  • Ability to handle situations that require diplomacy and confidentiality, such as student files and records
  • Ability to prioritize and coordinate workload
  • Ability to learn a variety of new software to process, track and run reports
  • Ability to work independently and professionally
  • Ability to work collaboratively as a solution-oriented member of the FoS team
