About the Role
Completes filling of shifts for approximately 400 employees for short call and advanced booking absences. This includes arranging and scheduling time off for employees and ensuring vacant shifts are filled to meet staffing requirements and collective agreement parameters using the Departmental Staffing Guidelines procedures and electronic scheduling software.
Job Duties and Responsibilities
Scheduling:
Communication with Ward Clerks and Supervisors regarding changes to shifts, vacant shifts
Create and receive Scheduling Handover reports
Monitor short call-in box/calls and action any shift filling
Receive absence calls, leave requests, complete call-ins to fill vacant shifts for all departments
Process shift changes and mutual requests
Filing related to scheduling
Complete various communications according to templates
Printing rosters etc.
Pull reports related to scheduling and workforce analytics
Assist with payroll tracking as necessary
General:
Incumbents must keep up-to-date on all relevant legislation, collective bargaining agreements, County Policies and Procedures, etc. ensuring that these are implemented as prescribed.

What We Are Looking For
Minimum Formal Education
Completion of related certificate or diploma (Office Administration/Medical Office Administration) or 12 months equivalent experience
Experience
Organizational, interpersonal, problem solving, and multi-tasking skills are essential
Proficiency in Microsoft office software programs
Experience working in scheduling, long-term care or health care is preferred
Experience working with Collective Agreements is preferred
