Job Summary


We are seeking a highly organized and detail-oriented Scheduling Coordinator to join our team. The ideal candidate will play a crucial role in coordinating and managing all staff schedules to ensure efficient staffing levels for safe client care and to meet operational needs while adhering to the terms of two collective agreements. The Staffing Coordinator oversees the workflow of the department, organizing operating procedures to allocate the work efficiently and supervising scheduling staff. They are responsible for ensuring the master schedule is updated with changes to rotations or position holders, calling in relief staff according to established guidelines, monitoring staff availability, approving overtime within a pre-determined range of factors and handles all scheduling related issues. The Staffing Coordinator performs a variety of administrative and clerical functions while working within multiple deadlines, maintaining scheduling records, preparing reports and all other related duties as required.

KEY RESPONSIBILITIES:

Scheduling Staff:

Developing and maintaining master staff rotation schedules. Assigning work and coordinating staff schedules to meet operational needs and patient care requirements. Managing shift changes, time-off requests, and other scheduling adjustments. Ensuring adequate staffing levels are maintained based on patient needs and established guidelines.
Supervision and Support:

Supervising designated staff, coaching and mentoring for continuous learning and success. Providing guidance, training, and support to staff on scheduling procedures and policies. Evaluating employee performance and providing real time feedback.
Communication and Coordination:

Communicating effectively with staff, managers, and other departments regarding scheduling matters. Collaborating with staffing departments and other stakeholders to ensure efficient resource allocation. Addressing and resolving scheduling conflicts or issues.
Record Keeping and Reporting:

Maintaining accurate records of staff schedules, attendance, and related data. Preparing reports on staffing levels, overtime, and other relevant metrics.
Policy and Procedure Implementation:

Implementing and adhering to established policies and procedures related to staffing and scheduling. Recommending and implementing process improvements to enhance scheduling efficiency.
Experience & Skills:

Minimum 5 year recent work experience scheduling and timekeeping in a union environment. Minimum 2 years of experience in a supervisory capacity. Proficiency using a computerized scheduling system; ComVida preferred and considered an asset. Proficient in English and MS Office (Including Word, Excel, Outlook) Strong organizational and time management skills to manage complex scheduling tasks. Excellent communication and interpersonal skills to effectively interact with staff, managers, and other stakeholders. High degree of accuracy, attention to details, and typing speed of at least 40 WPM. Knowledge of relevant BCNU and HEU collective agreements and staffing guidelines. Ability to work independently and as part of a team. Problem-solving skills to address scheduling challenges and conflicts.
Job Type: Full-time

Pay: $32.35 per hour

Expected hours: 37.5 per week
