The Scheduling & Checkout Coordinator manages all aspects of appointment coordination, treatment posting, payments, and insurance submissions. This role involves tasks that require focused attention and accuracy, with minimal interruptions. The coordinator ensures provider schedules are optimized, billing is correct, and insurance claims are submitted properly, directly supporting the financial health of the practice.
Key Responsibilities
Scheduling Management
Book, confirm, reschedule, and adjust dental and hygiene appointments according to provider preferences and timing guidelines.
Monitor cancellations and fill schedule gaps efficiently.
Checkout & Billing
Post completed procedures accurately and collect payments in a professional, confident manner.
Provide receipts and ensure all financial and treatment information is recorded correctly.
Insurance Processing & Documentation
Submit claims, upload attachments, and track denials.
Verify eligibility for routine visits and ensure documentation is scanned/uploaded before submitting claims.
Maintain accurate electronic records, charts, and correspondence.
Qualifications
Strong understanding of scheduling coordination and time-management principles.
Confidence discussing fees and collecting payments.
Excellent communication skills and a professional phone manner.
Highly reliable and accountable with strong organizational skills.
Comfort working in a fast-paced environment with frequent changes.
Experience with dental or medical insurance is an asset.
Willingness to rotate roles as needed and support team coverage.
Post-secondary education in administration or healthcare is an asset, but not required.
