Job Description

Reporting to the Manager of Human Resources, and under the daily direction of the Scheduling Coordinator, the Scheduling Clerk is responsible for maintaining schedules that ensure consistent operational coverage, in alignment with collective agreements and service requirements. The Scheduling Clerk also performs a variety of administrative tasks, including preparing schedules for payroll processing and maintaining accurate records and reports in accordance with collective agreements and policies and procedures. This Scheduling Clerk will have a focus on the Paramedic services portfolio.

Responsibilities

Maintains schedules to provide 24-hour coverage at multi sites. Maintains current and accurate lists of full time and casual staff. Schedules paramedics according to collective agreement, policies and procedures and shift requirements. Monitors staff availability and informs applicable supervisor to assist with ensuring staffing requirements. Maintains records of shift exchanges, temporary transfers, short notice lieu days and other documentation that may be required. Interprets and assesses accuracy and completeness of documentation to verify and identify discrepancies prior to input into the scheduling system. Compiles, calculates, verifies and submits payroll data from the Jacobs Scheduling program to the County of Renfrew Payroll Coordinator. Provides reports and support documentation to monitor the attendance support programs and information related to staff health and WSIB maintaining confidentiality of staffing information at all times. Actively participates in the implementation and adoption of UKG for scheduling. Provides a point of contact for management and staff requiring information and reports generated from the system as well as generating reports and spreadsheets to support management in statistical analyses and observed trends that impact the efficiency of the Paramedic Service and related duties. Performs other related duties as required. Protects own health and health of others by adopting safe work practices, reporting unsafe conditions immediately, and attending all relevant in-services regarding occupational health and safety. Follows all guidelines for employees and employers as legislated under the Ontario Occupational Health and Safety Act. Performs the responsibilities of the position within the legislative and regulatory standards set out in the applicable Provincial and Municipal Acts. Performs the responsibilities of the position consistent with the Operational policies of the County of Renfrew.
Qualifications

Post-Secondary education in office administration, or a combination of education and experience. Minimum six months experience working in an environment governed by legislation and legislative rules and regulations. Previous scheduling experience an asset. Ability to effectively communicate both verbally and in writing Ability to interpret and implement County policies, procedures, and collective agreements. Ability to prioritize and manage conflicting demands. Proficiency in Microsoft Office programs. High level of initiative and independence, confidentiality, judgement and ability to work with minimum supervision. Valid drivers' license and access to a reliable vehicle.

Pay: $31.38-$35.33 per hour
