Responsibilities
This position combines scheduling, customer service and administrative support to ensure our projects run smoothly and efficiently. Specific responsibilities include, but are not limited to:
Answer and respond to phone calls and emails in a professional and timely manner.
Schedule and confirm crew availability across Mainland NS and Cape Breton.
Input customer and project data into company systems.
Organize workflow and appointments, ensuring timely follow-up on all customer inquiries.
Discuss daily issues, conflicts, or scheduling questions with crews and management.
Contact customers within 24 hours of booking private jobs to confirm appointments.
Provide clear and accurate information to customers regarding the scope of work.
Perform general administrative tasks including printing, filing, mailing, and document management.
Support weekly and monthly scheduling reviews, updating spreadsheets and reports as required.
Provide excellent customer service while balancing multiple priorities under tight deadlines.
Qualifications, Skills and Experience
Strong organizational and time management skills with the ability to prioritize effectively.
Excellent customer service skills with a professional, friendly demeanor.
Solid written and verbal communication skills.
Proficiency with scheduling databases and office software (Microsoft 365 Suite).
Attention to detail with strong problem-solving and multitasking ability.
Data entry/typing accuracy and reliability.
Ability to work under pressure and manage competing deadlines.
A strong team player with a proactive and flexible approach.

Working Conditions
Typical office hours: Monday to Friday, 8:00AM - 5:00PM (35-45 hours/week). Work location: Dartmouth, NS office, with occasional site visits or travel as required.
