The Scheduler plays a key role in ensuring effective day-to-day business operations by coordinating and booking staff shifts across care departments. This position is responsible for maintaining accurate schedules, ensuring shift coverage, and providing reports on an ad-hoc basis or as requested. The Scheduler also supports continuous and innovative improvements to current processes, with the goal of enhancing overall service delivery and the customer experience for both staff and residents.
What You Will Do
Schedule all AgeCare staff and ensure all shifts are filled to meet operational needs
Prepare and distribute daily assignment sheets for applicable departments
Provide front desk coverage and general reception duties
Track attendance and maintain accurate documentation to support requests for shift exchanges, vacation, sick leave, and other types of leave
Manage sick time and time & attendance records using Kronos/ UKG Dimensions
Provide relief coverage for Admin Assist duties as needed
Maintain inventory levels and order medical supplies for the nursing department
Provide administrative support to the leadership team, as appropriate and based on operational priorities
Support various office functions and perform other administrative duties as required
What You Bring
Minimum of 2 years' experience in a scheduling or similar administrative role, preferably in a healthcare setting
Certificate or diploma in Office Administration or a related field
Experience with Kronos/UKG Dimensions or other scheduling/timekeeping systems is an asset
Strong problem-solving skills and the ability to remain composed in high-pressure situations
Excellent interpersonal and communication skills, with a warm and professional demeanor
Proficiency in Microsoft Office Suite, particularly Excel and Word
Exceptional organizational and time management abilities, with the capacity to prioritize tasks in a fast-paced environment
