We are looking for a

Residential Support Program Scheduler

to join our team in a permanent, full-time capacity.

This position is primarily Monday to Friday, 8:30 a.m. to 4:30 p.m.



Some or all of the following are strong preferences for this position:

Previous leadership history, team-building focus or background, strong coaching and mentoring skills, independent and collaborative decision-making skills, and the ability to employ effective conflict resolution and mediation techniques. A minimum of 1 year of experience creating and implementing schedules would be preferred but a mix of residential support/disability support knowledge and admin tasking in office or reception settings are also desirable work histories.

Under the supervision of the Scheduling Supervisor, the Scheduler will be responsible for the effective use of

Snap Schedule 365

software to create and maintain high-quality schedules for roughly

330 frontline workers

. This will include making redeployment phone calls and assigning appropriate coverage during employee absences and in emergencies.

Key Details:



1. Overview

-Ensure the implementation of all Program schedules, Agency policies and procedures, development of program procedures and fluid, professional communication

-Personal compliance with Agency and Program related policies, procedures, and best practices (CET, Employee Handbook, Health & Safety, Violence in the Workplace, Procedures Manual etc.)

-Report generation and data interpretation

-Escalation of negative performance or data trends to appropriate stakeholders

2. Scheduling

Prepare schedules for all RSP front line staff for all locations

Address changes to coverage to ensure appropriate coverage is constantly maintained

Ensure integrity of Data Entry (adding new hires, terminations, scheduling switches)

Monitor overtime, time off requests, LOA's, and status changes while correctly labeling them in the system

Confer with management to resolve staffing & scheduling concerns

Constantly look for ways to innovate, improve, and help implement solutions

Maintain clear and objective records and complete required reports and other documentation in a timely manner

Review Schedules regularly, track and report OT

3. Internal Service Responsibilities

Act as a general resource for relevant policies, procedures, and legislation

Act as a primary contact for agency sick calls/lateness/last minute scheduling changes

Uphold and share knowledge of ethics & protocols for service delivery to the individuals accessing our services

Display appropriate awareness of Budgets and funding arrangements, and knowledge of Agency or contract specific employment arrangements and agreements

Ensure the effective and efficient implementation of agreed upon plans

Ensure clear and consistent understanding of issues and service requirements

Ensuring staff's concerns are reported to the Scheduling Supervisor in a timely manner

Escalate any issues or concerns such as staff performance issues (violation of Sick Time policy, Redeployment policy, Ethics & Conduct policies) to Scheduling Supervisor or Coordinator

Other responsibilities and directives as assigned

4. Working Conditions

Ability to remain calm in all circumstances, appropriate stress management skills

Must be able to provide a set of criminal and vulnerable sectors check results with no criminal history

Manual dexterity required to use desktop computer and other devices

Sitting or standing for extended periods of time

Primarily office work to perform administrative tasks

You Will Bring:

-A minimum of 1 year of experience creating and implementing schedules would be preferred but a mix of residential support/disability support knowledge and admin tasking in office or reception settings will also be considered

-Reliable transportation to and from work

-Government-issue photo ID that is current and Canadian

-Satisfactory criminal background search results

-Excellent verbal and written communication skills, including professional email communications abilities

-Strong computer skills with comfort and speed in learning new software use

-Effective time management and organizational skills

-Must be able to identify issues, set priorities, and implement an appropriate plan of action

-A degree or diploma in a relevant discipline, augmented by progressive direct service experience to a senior practitioner level (preferred levels)
