Allied Universal is looking for a Scheduler / Security Guard in Edmonton, Alberta.
  • Payrate: $18. 00/hr.
  • Combined Part Time Scheduling and Security Position
  • Candidates with open availability preferred
  • Scheduling 0800-1600 hrs. and Security guard shifts as required between 0600-0000 hrs.

This position will be a combination of Part Time Scheduling and Security Guard Position as and when needed. Scheduler will ensure that all work assignments are fully staffed according to job requirements. Document all work hours, time differences and employee changes in the online systems to ensure accuracy. Ensuring vacancies due to absences of any kind are filled with the most suitable and qualified replacements. A scheduler will be direct point of contact for all of the scheduling requirements of a dedicated list of sites and He/she will design, implement and update Permanent Site Contract Schedules in the scheduling system aligning with the operations of Allied Universal. RESPONSIBILITIES: that may typically be assigned to this position include but are not limited to: Specific Task or Responsibilities
  • Maintain master schedules for all security job sites for the branch.
  • Oversee the scheduling process to ensure the elimination of payroll and scheduling errors.
  • Oversee data entry to ensure the accuracy of the database.
  • Respond to client, guards and internal service inquiries.
  • Manage the additional costs of training time and non-billable overtime by the judicious selection of staff to fill vacancies.
  • Assign new staff and re-assign staff according to site requirements and established procedures.
  • Ensure all vacancies due to any kind of absences are filled with the most suitable and qualified replacements.
  • Maintain and provide all reports as required by the scheduling system and keep the database updated with personnel information as required.
  • Ensure data relevant to employee lates, illness, absence, vacation, recommendations for disciplinary action, resignations, etc. are inputted into the scheduling system.
  • Recommend disciplinary action to the Operations Manager, in respect of employees who are continually late or absent from duty, who refuse work assignments, who fail to report for work without prior notice, or who generate client complaints
  • Liaise with Service Manager\'s (SM) to ensure the Scheduling Department has the most recent information available to ensure efficient deployment of staff
  • Maintain the confidentiality of all information relative to Company operations and personnel.
  • Communicate in a diplomatic, courteous and effective manner.
  • Represents and promotes Allied Universal interests both internally and externally.
  • Ensures Allied Universal international branding standards are met.
  • Other duties and responsibilities as assigned by management.
  • Forward all recognized security officer and site issues to respective Manager and HR representatives
  • Report any actions requiring discipline to respective Manager and HR representatives
  • Report any positive feedback to the Branch Management
  • Forward all requests to appropriate management
  • Assist Payroll and Billing to ensure all bill and pay codes are correct in the system
  • Gather, correlate and oversee all aspects of payroll data and communicate the data with the payroll administrator at the Branch.
  • Track overtime on a pay period basis and report results to the management.
  • Track all vacation requests which have been granted by the responsible manager
  • Oversee and direct the efforts of the scheduling department to ensure overtime is kept to a minimum at the branch.
  • Pass on requests for appointments and meetings from branch management to field
  • Receive any complaints from internal or external Allied Universal persons and forward to the according management
  • Report any discrepancies in Allied Universal policy to the respective manager in charge
QUALIFICATIONS:
  • Efficiency in verbal and written communication
  • Superior customer service orientation and problem-solving skills
  • Demonstrated ability to negotiate and superior attention to detail
  • Ability to track and analyze scheduling trends
  • Strong organizational skills
  • Experience working with scheduling system and/ or with ADP, WinTeam will be an asset
  • Proficient in all MS Office applications with advanced skills in Excel
  • Identify critical issues quickly and accurately
  • Customer care & consulting skillset
  • Proficiency with Microsoft Office Applications
  • Demonstrated ability to work effectively with employee groups and building partnerships at all levels of the organization
  • Experience in the Alberta Security Industry
  • 1-2 Years of scheduling experience
  • Demonstrate proficiency in managing multiple tasks in a deadline driven environment
  • Valid Alberta Security License
PHYSICAL/MENTAL REQUIREMENTS AND WORKING ENVIRONMENT:
  • While performing the duties of this job, the employee is regularly required to use both hands, is frequently required to stand, sit, stoop, talk and hear (communicate verbally in person and via regular telephone equipment), and must be able to read computer screens, correspondence and reports in English.
  • The employee must constantly walk, stand, reach with both hands and arms, and must be able to drive a vehicle. The employee may occasionally lift and/or move up to 25 pounds. May be required to climb stairs on an intermittent basis at client sites.
  • The job is generally performed in an office setting; however, during site visits the employee may be subject to adverse conditions such as rain, cold or heat for short periods of time. The employee must be able to concentrate on details, work under deadline pressures, apply sound logic and judgment, and prioritize tasks and responsibilities.
  • Must be able to focus and multi-task in a busy environment, with the ability to successfully handle stressful situations in a calm and professional manner. Includes being able to effectively manage multiple employees with diverse personalities and engage them to perform at optimum levels. Must be able to clearly speak, read and write English.
