Reporting to the Sample Intake Manager and Laboratory Manager, the Sample Intake Technician plays a crucial role in the smooth operation of the laboratory by managing sample reception, intake, and preliminary administrative tasks. This role involves answering inquiries, preparing documents, managing inventory, and providing administrative support. The technician ensures the effective processing of samples and maintains a high level of confidentiality and organization. They must uphold company policies and portray a professional image to colleagues, clients, and partners.
Duties & Responsibilities
Communication & Coordination:
Answer and direct phone calls, emails, and other inquiries to the appropriate personnel.
Greet and assist visitors, clients, or employees entering the office.
Handle incoming and outgoing mail, packages, and deliveries.
Collaborate with staff for seamless operations.
Coordinate with suppliers to obtain quotes for the Laboratory Manager.
Document & Data Management:
Prepare and process documents such as submission forms.
Perform data entry and maintain databases as needed.
Maintain confidentiality of sensitive information.
Inventory & Supplies Management:
Assist in managing inventory and ordering office supplies following relevant procedures and policies.
Assist in sourcing laboratory equipment and supplies from vendors.
Monitor supplies and submit orders as needed for the laboratory.
Administrative Support:
Provide administrative support to other departments as needed.
Keep office spaces organized and presentable.
Ensure security protocols are followed for building access.
Sample Processing:
Receive and log samples into the appropriate databases.
Prepare samples for testing and coordinate with laboratory staff.
Ensure proper identification and handling of samples.
Compliance & Safety:
Ensure compliance with all company policies and procedures.
Strictly adhere to laboratory safety protocols and actively participate in maintaining a secure work environment by reporting safety issues.
Communicate guidelines to personnel regarding laboratory safety.
Additional Responsibilities:
Take on additional tasks and responsibilities as assigned by managers.
Education
A diploma/degree in a relevant field or equivalent experience is considered an asset.
Experience in a similar administrative or laboratory role is considered an asset.
Experience with laboratory equipment and understanding of safety protocols is preferable.
Skills & Qualifications
Excellent communication and organizational skills.
Excellent customer service skills, in person and on telephone.
Proficiency in data entry with high degree of accuracy.
Good computer skills, preferably in a MAC platform.
Ability to handle sensitive information with discretion.
Strong attention to detail and ability to manage multiple tasks simultaneously.
Proven proficiency in data entry with a typing speed of at least 45 WPM.
Demonstrated ability to quickly acquire new skills and take initiative in learning.
Preferred Experience
Experience with laboratory sample intake and processing.
Knowledge of inventory and supply chain management.
Experience in a laboratory or scientific environment.
Familiarity with laboratory safety protocols and equipment.
