Job Description

ViVitro Labs is looking for a motivated, solutions-oriented Sales Support Specialist with proven experience in support and administration to join our expanding team in Victoria, BC. We are an internationally recognized and growing company that provides specialized test equipment solutions to facilitate medical device innovations in the cardiovascular field.



Reporting to the Operations Manager, the Sales Support Specialist plays a vital role in helping to meet sales targets by providing sales assistance and managing general office tasks. Being organized, goal-oriented, and able to multitask, the Sales Support Specialist measures success by removing obstacles and ensuring sales are completed on time, thriving in a fast-paced technical environment with competing demands. The Sales Support Specialist possesses extensive knowledge of customer service best practices, communicates effectively, and is committed to delivering results for both internal and external customers.

Salary





The Base Salary is $43,227 - $54,034. Annual variable compensation tied to goal completion has a target of 1.3% of the base salary. Employees are also eligible to earn profit sharing


Position Responsibilities:




Sales Support:




Handle customer communications, including order processing (keeping the client updated and informing them of unforeseen delays) Review sales contracts, including NDAs and tenders Process orders to ensure accurate, timely, and efficient product delivery Coordinate the shipment orders and customer invoices Perform post-shipment follow-up to confirm customer satisfaction Track and manage overdue accounts, initiating follow-up actions as needed Oversee and uphold the administration of SYSPRO ERP and Salesforce CRM systems Maintain and report on order KPIs Assist in coordinating sales trips and trade show appearances Manage inventory of ViVitro promotional merchandise Attend key sales meetings and gain a thorough understanding of all the company's services and products

Administrative Support:




Oversee and support all administrative duties in the office, ensuring smooth operations for management Coordinate with the IT department regarding all office equipment Perform reporting functions regularly and promptly, including tasks for SYSPRO ERP, Salesforce CRM, and SharePoint Support the accounting team with Financial and Month-End reporting processes Assist with accounting through invoice coding and supplier management Support senior management and sales representatives with any other projects as needed

Our ideal Sales Support Specialist candidate brings:




A certificate or diploma in business administration is preferred, or an equivalent combination of education and experience Minimum of 3+ years of experience in an office setting Experience with ERP and CRM systems preferred Proficiency in Microsoft Office programs (Excel and Word)
