Job Description

The Lead, Sales Support is an essential function managing higher volume vendors orders, confirming accuracy, ensuring vendor commitments in accuracy and pricing, preventing any financial deductions. The Lead, Sales Support must possess proven strong communication, interpersonal, and organizational skills to interact successfully with vendors, customers and managers.

  • Create/maintain all Buy Docs. Verify contacts, minimum shipment quantities & terms. Document quantities, first ship dates for first commitments. Pull information from Item Agreement.
  • Price changes - Document price change amount and effective date on Buy Doc. Document the reason for the price change. Verify with Business Manager.
  • Spreadsheets - Create & maintain as required.
  • Work with Barrett Anderson on any D&D/Spoils for appropriate vendors.
  • Proactively assist Buyers and Principals to obtain information in Business Manager's absence
  • New Warehouse Openings - Create and maintain order trackers (track both vendor and item detail)
  • Maintain accurate MVM / TPD trackers - Follow up on production schedule, ship dates and ensure receiving appointments have been booked.
  • Comp Shops
  • Help receive and ship samples as requested.
  • Participate in sales meetings/presentations - when circumstance requires SSL presence as requested.
  • Participate in product cuttings - when requested.
  • SSLs to assist with completing the Costco Food Item Approval Form (Google Form)
  • Order Processing
  • Process, track, and verify accuracy off all purchase orders.
  • Pricing - Check all allowances when PO's come through (especially new seasonal commitments)

  • Item Setup (consistent with other items/spec sheets)
  • Minimums
  • Receipt of all orders - verify with ICS if all orders are received
  • Check PO exception report - Identify issue and report to BM
  • Manually change PO in MAPS when there is a change in PO quantity actually received
  • Order Processing Follow Up:
  • Confirm all purchase orders with the respective vendor
  • Work with Costco (ICS, AB, Buyer) to correct any errors. Advise the BM of any discrepancies immediately.
  • Please keep cheat sheets updated with pricing, deductions etc. for those who cover in your absence.
  • Confirm that all delivery/pick up appointments have been booked prior to the delivery/pickup date
  • For MVM and TPD orders need to be tracked on a spreadsheet shared with the BM and extra follow up is required for pickup and delivery appointments
  • Ensure accurate import paperwork
  • Complete CCI's, COS, DDR for suppliers requiring help
  • Meat Certificate clearance verification when importing meat.
  • Let the BMs know about changes in POs as an FYI (this helps the BMs to figure out what happened when they look back at their sales for the month or helps with re-adjusting their monthly forecast)
  • Issues / Problem Solving:
  • Obtain all pertinent information regarding issue prior to moving forward to attempt resolution (Why? When? What? How? How much? Code date? If truck is broken down, where is it? Is it a repair? How long to get the repair? Can they get another tractor to move it along to the Depot?).?) Be proactive and try to find out all the information before going to Costco/Vendor to reduce the number of emails going back and forth.
  • Aggressive follow-up. Provide ongoing updates to Costco and ADW Business Manager. Better to over communicate.
  • Direct phone contact/conversation is encouraged to ensure understanding of all parties
  • Precise record keeping of all activities/issues for proper tracking
  • Member Incidents to be tracked on log and handled according to Costco's guidelines
  • Vendor Commitment / Maintenance of Demo Books:
  • Work with BM to plan and schedule demos per supplier program/budget
  • Maintain Up-to-date promotion calendar (demo dates & endcaps), Provide ongoing updates monthly to managers
  • Work with ICS to ensure adequate on-hand inventories to support demos, endcaps and TPD's/MVM's
  • Advise Manager of major issues/concerns as needed along with steps attempted to resolve and potential recommended solutions
  • Reconciling promotions & tracker with updates from MAPS
  • Buy Docs
  • Maintain accurate records for all active vendors/items, contacts, pricing, etc. based on Item Agreement or price change announcement
  • Commitment Trackers
  • Set up commitment trackers and send report to BM weekly (or as requested)
  • Update commitment extensions in the tracker within 24 hours of receiving the extension.
  • BM/SSL Teams:
  • To grow the business and achieve our Budget, Business Managers should be selling and developing business. SSLs should be handling administrative tasks.
  • Schedule weekly/bi-weekly meetings with BM/SSL teams to review the business. Discuss all issues, determine who is responsible for following up.
  • SSL should be aware of what's going on with the book of business in the event of travel.
  • Develop an organizational tool that works for both of you. Example: One Note, Microsoft teams. Share Point
  • Get back to the basics. Tasks 3, 4 and 6 are vital services ADW provides to Costco and our clients and should be prioritized to the beginning of the day
  • BM/SSL teams are just that...teams. One is useless without the other.
