Key Responsibilities

Summary of Position:




Perform administrative and clerical tasks related to the efficient maintenance and processing of accounts payable/receivable, vendor transactions and customer service. As well as other duties to be assigned as necessary. This is a full time, in person, office role and not hybrid.

Front Line Customer Support:




Manage customer service inbox Support liaison for inventory & warehouse movement and inquires Supporting sales warehouse division with Inventory and Warehousing Handling all inventory inquiries

Inventory Management:




Receive or complete a Sales/Purchasing Form. Review for accuracy and enter work order into accounting system, forward to warehouse (notifying warehouse of release numbers & pick up date). Notify customers via email order confirmation and any required information, including release #'s, delivery date, etc. Preparation and filing of customs documentation if required. Invoice customers thru existing orders, all product, service and freight fees. Notify purchasing as product is needed at re-stocking points. Daily tracking of Customers tank levels, Telemetry management, process orders as needed. Maintain and balance accurate inventory records. Work with sales team to provide accurate numbers on tonnes available for sales, consignment tonnes and re-order points. Invoice all Prepaid tonnage upon arrival at Sylvite warehouses, set up release numbers for pick of tenant inventories.

Vessel/Allocated Sales:




Receive Customer allocations of tonnes for Vessel from Sale Team. Contact customer as to tonnage available to "take" home. Manage balance of tonnes within Sylvite controlled warehouses. Work with Transportation team to have tonnage moved while vessel in port. Work with warehouse Operation team at the Port of discharge to form a discharge plan. Provide updates to all interested parties on arrival dates and discharging plans. Provide daily updates on unloading plan and weather as vessel in Port. Manage all vessel paperwork.

Additional duties:




On Call during busy season, spring and fall Year end file management and storage

Qualifications


------------------


Ideal candidate will be graduates of a community college program in Business or Administration. A minimum of one-year clerical experience in a computerized environment. Knowledge of the agriculture industry would be an asset
