Hostmost Marine is Asia's leading marine communications and navigation service provider, with depots in Canada, China, the Philippines, Vietnam, and Singapore. Our Vancouver office plays a key role in supporting clients across Canada and the Americas.
What you'll do
Be the main point of contact.
Keep customers (ship owners/managers) updated on quotes, schedules, and job status--clear, proactive communication is your superpower.
Coordinate with our technicians, manufacturers, and service partners so everyone knows who's doing what and when.
Proactively recommend any follow-up work, parts, or future surveys based on service findings, so customers are never left guessing.
Keep jobs moving on tight timelines.
Plan service visits around vessel ETAs/ETDs; line up people, parts, and paperwork to hit short docking windows.
Work with logistics and inventory to make sure orders ship on time and technicians have what they need.
Jump on urgent inquiries when they pop up (occasional after-hours).
Turn requests into clear quotes & clean paperwork.
Manage tickets and communication in Zendesk (our central inbox).
Convert customer requests into accurate, competitive quotes (with help from our technical team when needed).
Prepare and check POs, sales orders, and shipping docs so details are correct the first time.
Collect service reports, certificates, and survey documents from techs; double-check for completeness and share final packs with the customer.
Collaborate with accounting to enable smooth, timely invoicing.
Learn and improve.
Build product knowledge over time through training and on-the-job exposure--no marine electronics background required.
Suggest process tweaks that make customer service faster and clearer.

Qualifications:
Bachelor's degree or Diploma
2+ years of experience in a coordination, project support, or customer service role involving complex logistics or technical products.
A logical aptitude with the ability to comprehend technical concepts and coordinate multiple moving parts under time constraints.
Superior organizational and time-management skills; must thrive in a high-pressure, deadline-driven environment.
Excellent written and verbal communication and customer relations skills.
Proficiency with Microsoft Office Suite (Outlook, Excel, Word).
Self-motivated, positive, and energetic team player
Major Assets (Nice-to-Have):
Experience in the marine industry or an understanding of vessel operations and logistics.
Experience with SAP or another equivalent ERP system.
Experience using Zendesk or a similar CRM/ticketing system.
