Kayden Environmental Services is seeking a highly skilled and detail-oriented Sales & Marketing Executive Assistant to support our leadership team in advancing sales initiatives, maintaining accurate marketing and product information, and ensuring brand consistency across all client-facing materials.


This role blends strategic marketing execution, sales support, and executive-level administrative assistance. The ideal candidate will have strong presentation and analytical skills, expert-level proficiency in PowerPoint and Excel, and the ability to produce professional, client-ready materials that reflect Kayden's and Grizzly's market leadership.

This position requires a proactive and detail-oriented individual who thrives in a fast-paced environment and can balance multiple priorities while maintaining accuracy, communication, and professionalism.

les & Marketing Support



Develop and design high-quality PowerPoint presentations for client proposals, internal strategy meetings, and performance reviews. Provide initial drafts and edit marketing materials Assist with the planning and execution of marketing campaigns Maintain and regularly update sales and marketing collateral, including sell sheets, technical data sheets, safety documents, and promotional materials across all product lines, ensuring consistency in brand messaging. Manage updates to Grizzly brand centrifuge information, ensuring specifications, configurations, and performance data are accurate across all platforms and marketing materials. Work with Sales and Operations to ensure product offering information -- including centrifuges, tanks, and other Kayden equipment -- is current and aligns with operational capabilities. Assist in the preparation of professional quotes, integrating marketing materials, product details, and visual content to present a polished and accurate proposal package. Coordinate the creation and distribution of promotional materials, event content, and branded assets for trade shows, conferences, and client engagements. Support marketing campaigns, newsletters, and digital communications that promote Kayden and Grizzly product lines. Work with internal stakeholders to ensure marketing materials comply with safety, operational, and corporate standards.

Executive & Administrative Support



Provide executive-level support to leadership, including: + Manage complex executive calendars, prioritize meetings, + Coordinate the reconciliation and submissions of monthly expense reports for the CEO & COO

Work closely with the CEO & COO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Plan and execute executive events, board meetings, and leadership workshops.
Prepare executive briefs, summaries, and reports for internal and client meetings. Manage communication between departments to align on sales, marketing, and business development initiatives. Handle confidential information with professionalism and discretion. Support the executive team with presentation development for leadership meetings and strategic reviews. + Undertake a diversity of projects with timely completion while working collaboratively. Projects may require research and the synthesis of complex data into reports for diverse audiences, including senior leadership and the Board of Directors.

Qualifications



Education:

Bachelor's degree in marketing, Communications, or Business Administration preferred.

Experience

: 4-6 years of experience in sales coordination, marketing, or executive support, ideally within the oilfield services, environmental, or energy sector.

Technical Proficiency:

+ Expert-level PowerPoint - capable of designing polished, data-driven presentations.
+ Advanced Excel - including pivot tables, formulas, lookups, and dashboards.
+ CRM experience (Salesforce, HubSpot, or similar).
+ Experience maintaining and updating technical product data and marketing materials.
+ Familiarity with Adobe Creative Suite, Canva, or similar tools (preferred).
+ Excellent written, visual, and verbal communication skills.
+ Participate in internal audits and reporting for continuous improvement.
+ Occasionally assist in sales process coordination, including lead tracking and client communication.
