Provides administrative support to the Commercial Sales Director as well as the Sales and R&D groups.
Essential Duties:
Compile Bonus and Month End reports (~54 reports) and circulate as appropriate. Reports include:
I. YTD Sales vs Budget and P&L
II. YTD Sales of Retail and Chain Accounts
III. YTD US Sales to Canada
IV. Individual Sales Rep Reports
V. Sales Trends Report
VI. Top Customer Sales Reports
VII. Various sales reports for customers and NWF US
VIII. Bonus Reports for Sales Team
Responsible for the managing of customer claims: data collection, collating information, performing a preliminary audit, submitting it to NWF Legal.
Manage calendars, schedule appointments, make travel and event arrangements.
Record and distribute minutes of corporate meetings.
Field calls from potential customers to determine if we can meet their needs.
Responsible for coordinating the annual Canadian Sales Meeting: facility, meals, accommodations, and compilation of all presentations.
Manage Company Car lease agreements.
Support Sales Account Managers by:
I. Managing the QCP quote process: liaising between Sales, Operations, R&D, Purchasing, Maintenance and Marketing Services; entering test formulas into CIMPRO; tracking timelines and efficiency of process
II. Developing trend reports by customers
III. Overseeing AMEX and 407ETR accounts, vehicle leases, memberships
IV. Generating other reports as required
V. Creating customer product samples as required
VI. Initiating customer account rep changes as requested and required.
Support R&D, Marketing Services and Operations by:
I. Generating an R&D Lab Usage report
II. Provide back-up support for the R&D Admin Assistant in their absence
III. Initiating formula in-activations for discontinued product
IV. Various administrative assistance as required
Support Finance by:
I. Processing all confidential legal MRO's
II. Processing confidential correspondence
III. Processing MROs for insurance policies
IV. Administrative support for creating and presenting Sales/Finance presentations for Management meetings
Perform word processing, Excel spreadsheets, PowerPoint presentations and prepare various other documentation as required.
Manage and undertake special projects as assigned.
Liaise and coordinate communications between all staff as needed.
Perform a variety of other administrative duties as required.

Non-Essential Duties:
Perform various other similar and related duties as required by the Commercial Director, Sales, R&D or other managers if needed.
Minimum Qualifications:
Post-secondary education, preferable in business or administration.
Proficient computer skills, including Microsoft Suite, Lotus Notes and CIMPRO.
Over 5 years' experience working in an office environment.
Capable of performing detail oriented, accurate information with high quality.
Professional demeanor with excellent communication and interpersonal skills.
Must be able to work with minimum supervision and handle confidential information.
