Job Description

Aquatech Canadian Water Services Inc. is seeking a highly organized and safety-minded Safety Administrator to support our Health and Safety Management System (HSMS) and aid with administrative coordination across multiple operational locations. This role is suited for an individual who is detail-oriented, proactive, and comfortable working both independently and collaboratively in a fast-paced environment.

The ideal candidate will bring a combination of strong administrative skills and a solid understanding of workplace health and safety principles. This position plays a key role in supporting compliance, recordkeeping, reporting, and coordination of training, safety documentation, and internal communications.

Key Responsibilities



Maintain accurate safety records, documents, and digital files in accordance with regulatory and company requirements.

Assist with the development, formatting, editing, and distribution of health and safety procedures, forms, policies, and reports.

Track employee training, certifications, and renewals; communicate reminders and coordinate scheduling.

Support the Safety Department in conducting audits, safety meetings, orientations, and inspections by preparing sign-in sheets, reports, agendas, and summaries.

Assist in incident reporting workflows, including data entry, tracking corrective actions, and ensuring documentation accuracy.

Coordinate logistics for safety meetings, orientations, and training sessions (virtual and in-person).

Assist in maintaining safety management software applications and digital platforms.

Support communication efforts by drafting internal bulletins, safety alerts, reminders, and training instructions.

Perform general administrative tasks including email management, scheduling, filing, and spreadsheet maintenance.

Working at front desk greeting clients, receiving deliveries & answering/directing calls as required.

Technical Requirements



Proficient in Microsoft Office Suite:

o Word (formatting policies, memos, reports)

o Excel (data entry, tracking systems, formulas, logs)

o PowerPoint (meeting slide decks and training materials)

o Outlook (calendar scheduling, task reminders, email communication)

Experience using digital recordkeeping or safety management software (e.g., Dashpivot, SiteDocs, SafetyLine, or similar) is considered an asset.

Comfortable performing web-based research, online form submissions, electronic filing, and database updates.

Safety-Related Requirements



Understanding basic health and safety concepts, including:

o Hazard identification and reporting

o PPE requirements

o Incident reporting fundamentals

o Safety training and documentation control

o Safety meeting and audit support

Previous experience in safety administration or exposure to health and safety programs is an asset.

Previous experience performing duties as a Front Office Administrator

Certification of Health and Safety Administration though a recognized provider is considered an advantage.

Familiarity with Alberta OHS legislation, COR requirements, or safety certifications (e.g., H2S Alive, WHMIS, First Aid) is considered an advantage.

Qualifications



High school diploma required; post-secondary education in business administration, occupational health and safety, or related field preferred.

Minimum 1-2 years of administrative experience; safety-related experience preferred.

Valid Class 5 driver's license an asset.
