We are looking for a detail-oriented and proactive Safety Coordinator to join our team and play a vital role in upholding our high standards of safety and compliance.

Position Summary



The Safety Coordinator will work in direct support of the Safety Manager to administer and maintain our transportation safety and compliance programs. This role is responsible for the day-to-day tasks that ensure our drivers and equipment operate in accordance with all internal policies and industry regulations. The ideal candidate is highly organized, proficient with compliance documentation, and dedicated to promoting a culture of safety throughout the organization.

Key Responsibilities



Driver Onboarding & Compliance Support:



Assist in the driver onboarding process by processing applications, conducting background checks, and ensuring all driver qualification records are complete and up-to-date. Liaise with external insurance agencies to help coordinate driver and equipment insurance coverage. Maintain and update driver files, truck/trailer binders, and other safety documentation to ensure audit-readiness. Track and monitor driver hours, logbooks, and CVSA violations, flagging any issues for the Safety Manager.

Administrative & Data Management:



Collect logbooks, bills of lading, and other essential documentation from drivers on a bi-monthly basis. Perform initial audits of driver logbooks, matching them with transponder scale times and other data points. Accurately input and manage safety and compliance data within our Axon software system. Prepare and compile data for safety metrics, incident reports, and action plans for management review. Print and manage ACE/ACI border crossing documents using Border Connect. Assist with the preparation of IFTA fuel tax filings.

Training & Safety Program Support:



Coordinate the scheduling of in-house and third-party driver training for topics such as Dangerous Goods, Logbooks, and Load Securement. Provide administrative support for safety-related HR tasks and act as a point of contact for driver inquiries regarding safety procedures. Assist in maintaining records related to preventative maintenance programs and equipment compliance to ensure fleet safety.

Qualifications & Skills



2+ years of experience in an administrative or coordinating role within the transportation, logistics, or a related industry. A strong working knowledge of transportation safety principles and compliance regulations (e.g., CVSA, NSC, IFTA). Proficiency with transportation management software; experience with Axon is a significant asset. Exceptional organizational skills and a keen eye for detail. Excellent communication skills, both written and verbal. Proven ability to manage multiple priorities and meet deadlines in a fast-paced environment. A proactive and collaborative team player. Class 1 Driver's License is considered a strong asset but is not required.

Working Conditions



This is primarily an on-site role based in our office and yard. Occasional weekend or evening availability may be required to address urgent safety matters.
